Generate a Special 1099 File Format

CAUTION: This 1099 file format was developed for use by the state of Louisiana. If you're filing 1099s for any other state, please see Electronically File Your 1099s.

This process generates a text file with 1099 data in a fixed-width format.

  1. On the Transactions tab, click End of Period > Tax E-File.
  2. On the Manual E-File tab, locate the section that says, "Generate Special 1099 File Format".
  3. Determine whether you need to generate a file for 1099-MISC or 1099-NEC, and select the appropriate option.
  4. We recommend testing totals before proceeding. Click Run Yearly Test Totals.
  5. If your test totals look good, click Generate Special 1099 File Format.
  6. Enter the information for the Transmitter and Contact fields.
  7. Select the 1099 information you want to include in the file.
    • Only Print Those Making More than or Equal to—Select to include only vendors or employees making more than or equal to a certain amount, then enter the amount.
    • Include Vendors with Payer Name as...—Select to include vendor 1099s for e-filing. This option only displays for Payroll users.
    • Include Employees with Payer Name...—Select to include employee 1099s for e-filing. This option only displays for Payroll users.
    • Include State Amounts—Select if you want to include state tax information for vendors and contract employees.
    • Include Check for Valid State IDs—If you selected to include state amounts, you can select whether to check for valid state IDs.
    • State ID #—Enter the ID number used for reporting the information to the state. This field only displays for non-Payroll users. (For Payroll users, this ID is automatically pulled from your Employer tax information in PDS.)
    • Print prefix "DBA" where applicable—Select if you want "DBA" to print before the vendor name if they do business under a different name. Any variation you've used in your vendor records ("Dba", "dba", "d.b.a.", and so on) is printed as "DBA" to comply with the universal form allowance.
  8. Click Save.
  9. Confirm the name of your file or edit it if needed, select where to save the file, then click Save.
  10. If any issues were detected, a dialog box displays. You can correct these before proceeding.
  11. Once the file has built, you're prompted to view the file. Click Yes to view it or No to continue the process.
  12. Click OK to begin printing the forms.
  13. The Report wizard displays. To preview or print your 1099s, proceed through the wizard and click Print Report or Start.
