Compile Annual Sacramental Report Information

Note: This process is only available in the Orthodox version of Church Office. You may be looking for Compile Kenedy Directory Information.

With this process, you can compile and print your data for the Orthodox Annual Sacramental Report. On the Information tab, click Families > Processes > Annual Sacramental Report Information.

You have three options. If you compiled data last year using this process, you can select option one or two to display that information for comparison as you create this year's report. No matter which option you select, you can manually overwrite any information.

Option One - Use Program Data to Calculate Statistics

Select this option for accuracy and speed. This compiles all of the sacramental data for you, including numbers of baptisms, Chrismations, marriages, registered households, and so on.
Tip: Remember that the program can't count data you don't track.
  1. Select Use the Data in the program to calculate statistics, and click Next.
  2. Select the period of time and options you want to use to determine which families and members are included in the calculations. Click Next.
  3. Select whether to calculate registered households, individuals, and deaths. If you calculate individuals, select at least one keyword that designates them as "Greek Orthodox". Click Next.
  4. Select the sacraments you want to calculate as well as the keyword values for each. Click Next.
  5. If needed, enter your metropolis and parish information. Click Next.
    Note: This information prints at the top of the final report and typically doesn't change from year to year.
  6. Your calculated statistics for the selected date range displays. You can edit the values if needed. Click Next.
  7. Select whether you want to print your sacramental data, create a file, and/or save the data for next year. You can select any or all options. If you create a file, enter the path and file.
    Tip: If you select to create a file, the data generated by the report will be saved in the location you specify in the File Name field. You can save the file in a Comma Separated Values (.csv) or text (.txt) format which can be imported into a number of programs, such as spreadsheet applications. The file contains three columns: Category, Old Value, and New Value. Each line after the heading represents information from one line of the report. Although digital files are not currently accepted for the report, this is a way for you to save a digital backup of your information.
  8. When you're done, click Finish.

Option Two - Start with Information Used Last Year

If you used PDS to generate your sacramental information last year, select this option to view that data alongside the fields where you enter this year's information. With this option, you must enter all statistical data manually.

  1. Select Start with information used last year, and click Next.
  2. If necessary, update your metropolis and parish information. Click Next.
    Note: This information prints at the top of the final report and typically doesn't change from year to year.
  3. Enter or update the statistics for the current year. Click Next.
  4. Select whether you want to print your sacramental data, create a file, and/or save the data for next year. You can select any or all options. If you create a file, enter the path and file.
    Tip: If you select to create a file, the data generated by the report will be saved in the location you specify in the File Name field. You can save the file in Comma Separated Values (.csv) or text (.txt) format which can be imported into a number of programs, such as spreadsheet applications. Option Three - Start with a Blank Form

You can select this option if you didn't use PDS to compile your data last year and want to manually enter your sacramental data.

  1. Select Start with blank form and enter all information, and click Next.
  2. Enter your metropolis and parish information. Click Next.
    Note: This information prints at the top of the final report and typically doesn't change from year to year.
  3. Enter the statistics for the current year. Click Next.
  4. Select whether you want to print your sacramental data, create a file, and/or save the data for next year. You can select any or all options. If you create a file, enter the path and file.
    Tip: If you select to create a file, the data generated by the report will be saved in the location you specify in the File Name field. Calculations for Annual Sacramental Reporting windows

These fields are only applicable and visible if you selected Option One.

Period of Time for Calculations

Enter the date range you want to use to count each number of sacraments. This should cover a twelve month period in accordance with your Metropolis. This period is used to calculate all other fields in this process.

Families to Include in Calculations

Filter which families to include in the report.

Members to Include in Calculations

Filter which members to include in the report.

Calculate the Number of Registered Parishioner Households

Select this option to include the number of registered parishioner households in the report.

Calculate Number of Individual Greek Orthodox

Include the number of individuals with one or more of the selected keywords. This assumes that User Keyword 1 has been established as "Religion." Select at least one option that represents "Greek Orthodox".

Calculate Number of Deaths

Include the number of deaths that occurred during the selected period. Only those who have a date entered for Deceased are included.

Calculate Number of Baptisms

Since sacrament names can be customized, select the sacrament name you use for "baptism".

An individual is included in this category if all of the following are true:
  • they have a sacrament matching the keyword you selected for baptism
  • the status for the sacrament is Approximate, Yes, or blank
  • the sacrament place matches the place you added for your parish (in other words, the sacrament occurred at your parish)
  • the date for the sacrament falls within the date range specified
Calculate Number of Chrismations

Since sacrament names can be customized, select the sacrament name you use for "Chrismation".

An individual is included in this category if all of the following are true:
  • they have a sacrament matching the keyword you selected for Chrismation
  • the status for the sacrament is Approximate, Yes, or blank
  • the sacrament place matches the place you added for your parish (in other words, the sacrament occurred at your parish)
  • the date for the sacrament falls within the date range specified
Calculate Number of Ecclesiastic Divorces

Since sacrament names can be customized, select which sacrament name is used for "Ecclesiastic divorce".

An individual is included in this category if all of the following are true:
  • they have a sacrament matching the keyword you selected for Ecclesiastic divorce
  • the status for the sacrament is Approximate, Yes, or blank
  • the sacrament place matches the place you added for your parish (in other words, the sacrament occurred at your parish)
  • the date for the sacrament falls within the date range specified
Calculate Number of Marriages

Since sacrament names can be customized, select which sacrament name is used for "marriage".

An individual is included in this category if all of the following are true:
  • they have a sacrament matching the keyword you selected for marriage
  • the status for the sacrament is Approximate, Yes, or blank
  • the sacrament place matches the place you added for your parish (in other words, the sacrament took place at your parish)
  • the date for the sacrament falls within the date range specified
Note: If one or both partners in a marriage don't have one of the religion keywords that means "Greek Orthodox", the marriage is counted as one interfaith marriage. Marital status works similarly but uses the selected marital status selections instead of religion keywords.

Metropolis and Parish information

Enter the information to display on the report. Typically, the parish address doesn't change from year to year.

Vital Statistics

If you selected to automatically calculate statistics, the totals display. At this point, you can still overwrite the values manually if you believe they aren't accurate.
