Trim Selection Tool

Learn more about the Trim Selection tool, including instructions to trim a selection using the tool.

With this tool, you can remove records from a selection and to make a new selection of the removed records, if necessary.

  • The tool is available on the Contacts, Participants or Members, and Contributions > Donors pages.
  • You must launch the tool from a selection of records, and you can't launch the tool from an open record.
  • After you select trimming criteria, you can:
    • Remove from the selection.
    • Create a selection with record(s).
    • Create a selection with ONLY this record.
    • Not remove the records and close the tool.
  • Trimming criteria is dynamic. For example, you can't trim out people who opted out of receiving bulk emails if no one in your selection opted out of receiving bulk emails.
  • You can trim the following:
    • Contact status
    • Marital status
    • Gender
    • Bulk email opt out
    • Do not text
    • Missing email address
    • Missing mobile phone
    • Age range
    • Household position
    • Missing home phone
    • Missing household address
    • Household bulk mail opt out
    • Congregation
    • Participant type
    • Ministry
    • Group type
    • Group
    • Group role type
    • Group role
    • Current publication
    • Previous publication

Note: To use this tool, you must have access through your security role. SPoCs can grant user access to this tool.

Trim a Selection

  1. Make a selection.
    Note: If your selection isn't already on the Contacts, Participants or Members, or Contributions > Donors pages, transfer your selection to one of those pages.
  2. Click Tools, then click Trim Selection.
  3. In the Parameter/Metric column on the left, find the criteria to remove.
    To remove those with an inactive contact status, select Inactive from the Contact Status drop-down list.
  4. Click Remove.
  5. On the Select Remove Action dialog box, select an action.
    • Remove from Selection: Remove the identified records from the current selection.
    • Create Selection without this Record(s): Create a new selection without the identified records. The original selection remains the same.
    • Create Selection with ONLY this Record(s): Create a new selection that includes ONLY the identified record. The original remains the same.
    • Close: Closes the Select Remove Action dialog box without removing records.
  6. After removing records from the selection, close the tool.
