Transfer Selection Tool

Learn more about the Transfer Selection tool, including how to transfer a selection from one page to another page.

With the Transfer Selection tool, you can move and/or modify a selection.

  • The tool is available on many pages in MinistryPlatform but not tabs. If it isn't available on the page or tab you're on, you can click the Transfer Selection icon two stacked arrows, one pointing right and one pointing left to transfer your selection to a page where the tool is available.
  • If configured, the tool can transfer to and from filtered pages.
  • You can:
    • Copy your selection to another page: This is useful to "de-dupe" a selection, since main pages only allow one record per person; leverage actions, reports, and tools that are only available on main pages; and get a list of parents from a selection of children.
    • Transfer your selection to another user: This is useful to quickly share a group of selected records with a coworker.
    • Add to an existing selection: This is useful to build a complex selection from multiple other selections without including duplicates; and create a combined list of children and their parents.
    • Remove from an existing selection: This is useful to exclude certain records from your selection; find a group of people who has not done something, like small group leaders who haven't registered for required training; and exclude people who have already registered for an event from a registration reminder email.
  • You can also include inactive contacts, select heads of household, include non-custodial parents, and create records that may be missing from your target page.
  • Your original selection (that is, all the records you selected) remains unchanged on the page you started from. The tool copies the selection (and, if needed, adds or removes the records) so you can use the selection on another page.
  • When you transfer a selection from the Households or Families page, all household members will be selected on the target page.

Note: To use this tool, you must have access through your security role. SPoCs can grant user access to this tool.

Transfer a Selection from One Page to Another

  1. Make a selection on a page.
  2. Click Tools, then click Transfer Selection.
  3. At the top, select one of the following options:
    • Copy Selection: This copies the records of the current selection to one of the main pages (Contacts, Households or Families, Participants or Members, Donors, or Users) or to a different user.
    • Append to Selection: This adds the records of the current selection to a previously saved selection on one of the main pages.
    • Remove from Selection: This removes the records of the current selection from a previously saved selection on one of the main pages.
  4. If copying a selection:
    1. In the Target Page field, select the page you want to transfer the selection to.
    2. If you're transferring to a page other than the Contacts page, use the Create Missing Records toggle to select whether to create the appropriate records if they don't already exist for those people in your current selection.
    3. In the Selection Name field, enter a name for this selection.
    4. Use the Include Inactive Contacts toggle to select whether to include contacts with an inactive status.
      This may be useful if you need to email those in the selection but want to keep their records inactive.
    5. Use the Select Heads Instead toggle to select whether to add heads of households to this selection.
      If your selection is all children and you copy the selection to another page with this option toggled on, the target selection does not contain the children and instead contains the children's parents.
    6. If you toggled the Select Heads Instead option on, use the Include Non-Custodial Parents toggle to select whether to include any heads of households set as the Other Household with a non-custodial parent household type in your current selection.
    7. In the Target User field, select a user from the drop-down list.

  5. If appending to a selection:
    1. In the Target Page field, select the page you want to transfer the selection to.
    2. If you're transferring to a page other than the Contacts page, use the Create Missing Records toggle to select whether to create the appropriate records if they don't already exist for those people in your current selection.
    3. In the Target Selection field, select the selection you want to transfer from the drop-down list.
    4. Use the Include Active Contacts toggle to select whether to include contacts with an inactive status.

    5. Use the Select Heads Instead toggle to select whether to add heads of households to this selection.
      If your selection is all children and you append the selection with this option toggled on, the target selection does not contain the children and instead contains the children's parents.
    6. If you toggled the Select Heads Instead option on, use the Include Non-Custodial Parents toggle to select whether to include any heads of households set as the Other Household with a non-custodial parent household type in your current selection.

  6. If removing from a selection:
    1. In the Target Page field, select the page you want to transfer the selection to.
    2. In the Target Selection field, select the selection you want to transfer from the drop-down list.
    3. Use the Include Active Contacts toggle to select whether you want to include contacts with an inactive status.
      This may be useful if you need to email those in the selection but want to keep their records inactive.
    4. Use the Remove Heads Instead toggle to select whether to remove the heads of households from this selection.
    5. If you toggled the Select Heads Instead option on, use the Include Non-Custodial Parents toggle to select whether to include any heads of households set as the Other Household with a non-custodial parent household type in your current selection.

  7. Click Transfer.

Your original selection remains unchanged on the page you started from. The selection is copied to the target page and, if applicable, appended to or removed from the existing selection.
