Statements Page
There is a dedicated Statements page to view statement details, located under . It includes Donations, Soft Credits, and Donors tabs. To be associated with a statement and display on the Statements page, donations must be:
- Accounting Company
- The program's accounting company.
- Statement Year
- The calendar year the donation was made.
- Household
- The contact's household.
- Stmt Type
- This is the statement type. Set this on the contact's Donor record.
- Contact Record
- The donor's Contact record.
- Spouse Record
- The contact's spouse, if it's known and the donor's statement type is family. If the statement type is individual, each spouse will have their own statement. Note: A spouse does not need to have a Donor record to display under Spouse or be included in the salutation. But a spouse will only display in the Donors tab if they have a Donor record.
- Salutation
- This field displays the contact and, if known, the spouse. Typically, this is the male head of household followed by the female spouse. But if the female is the original donor and displays as the contact, this may be reversed.The amount of information that displays for the salutation depends on the information that's entered (or not entered) on the records in MinistryPlatform. This includes prefixes, genders, marital status, and household position. In order for the salutation to display in a certain way, these factors are considered. Here are some examples to demonstrate.
- A formal salutation displays as "Dr. & Mrs. John Smith" if all of these conditions are met:
- Both contacts have prefixes.
- Both contacts have genders, AND one is male and the other is female.
- Marital status for the male is set to 2 (Married).
- If any of those conditions are not met, the formal salutation displays only the available information. In addition:
- If only one contact has a gender, the spouse is assumed to be the opposite gender, and the male is always listed first.
- If neither contact has a gender entered or the genders are the same, the formal salutation displays with the contact first then the spouse.
- Only heads of household who are on the statement as a Contact record or Spouse record will be considered in the salutation.
- The accounting company's Formal Salutation field also contributes to the format of names:
- If the accounting company's Formal Salutation field is No, nicknames are used.
- If the accounting company's Formal Salutation field is Yes, the contact's first name and prefixes (if entered on the records) are used.
- A formal salutation displays as "Dr. & Mrs. John Smith" if all of these conditions are met:
- Archived
- This field is populated when Archive is set to Yes.
- Archived Campaign
- This field is populated by the Pledge Campaign ID field from the Accounting Company record when the statement is archived.
- Alternate Archived Campaign
- This field is populated by the Alternate Pledge Campaign field from the Accounting Company record when the statement is archived.
- Last Change By Routine
- The last date when any changes were made to this statement or associated records by the nightly statement routine.
- Last Statement File
- The last date when a statement file was created and attached this statement based on values on this record and the associated records at the time.
