Reservations

An in-depth guide on reserving rooms, equipment, and services through MinistryPlatform, including how-tos and helpful views.

Those with edit rights on the Events page can add Rooms, Equipment and/or Service requests to an Event at any time. Once you associate these items with an Event, you can copy them as a part of a recurring series into all future instances of the Event series. You must reserve each item individually; you may not reserve "combo" rooms like Elementary Hallway.

Available Rooms View

In an Event's Rooms & Groups tab, the Available Rooms view displays any room that matches the following conditions.

  • You can book the room (Bookable is set to Yes).
  • The Room's Building Location matches the Event's Location or the Event's Location field is blank.
  • The room is available for the date and time of the Event, and it is not already reserved for an Event with an overlapping date and time. The Minutes for Setup and Minutes for Cleanup are considered.

Available Equipment View

In the Event's Equipment tab, the Available Equipment view displays any equipment that matches the following conditions.

  • You can book the equipment (Bookable is set to Yes).
  • There is enough equipment available (the Equipment Quantity is greater than zero). For specifics, compare the Inventory Qty and Qty Available columns in this view.
  • The equipment is available for the date and time of the Event, and it is not already reserved for an Event with an overlapping date and time. The Minutes for Setup and Minutes for Cleanup are considered.

Other Helpful Views

  • The Overbooked Equipment Quantity view on the Equipment Reservations page displays any overbooked equipment quantities in a given time period.
  • You can use the Recent Event/Reservation Changes view on the Events page called Events < 72 hrs OR Newly Created < 24 hrs OR Room Changes as a View Notification for staff affected by last-minute changes to Events.
