Reserve Equipment

An overview on reserving equipment through MinistryPlatform, including how to book singular for one event, multiple equipment for one event, singular equipment for multiple events, and a helpful view.

Those with edit rights on the Events page can add equipment requests to an Event at any time. Once you associate equipment with an Event, you can copy it as part of a recurring series to all future instances of the Event series. You must reserve equipment individually.

Single Equipment to Single Event

  • You must have edit rights on the Events page to do this.
  1. Go to the Events and open the Event you want to add the equipment to.
  2. Click the Equipment tab.
  3. Click New Equipment Reservation.
  4. Select the equipment you want to reserve.
  5. Complete the remaining required fields.
  6. Click Save.
  7. Click Close.
The reserved equipment displays in the Event's Equipment tab.

Multiple Equipment to Single Event

  • You must have edit rights on the Events page to do this.
  1. Go to the Events page and open the Event you want to add the equipment to.
  2. Click the Equipment tab.
  3. Click Actions > Add Equipment.
  4. Enter, search for, or select the equipment you want to add to this Event from the Equipment drop-down list.
  5. Complete the remaining required fields.
    Note: The information you enter here applies to all selected equipment.
  6. Click Add.
The equipment displays in the Event's Equipment tab.

Single Equipment to Multiple Events

  • You must have edit rights on the Events page to do this.
  1. In the Advanced menu, go to Facilities > Equipment.
  2. Select the equipment you want to assign to multiple events and open it.
  3. Click the Events tab.
  4. Click Actions > Add Events.
  5. Enter, search for, or select the events you want to add the equipment to from the Event drop-down list.
  6. Complete the remaining required fields.
  7. Click Add.
The equipment reservations display in the equipment's Events tab.

View Equipment Reservations

You can view your equipment reservations in several places in the Platform.

From Equipment Reservations:
  1. In the Advanced menu, go to Facilities > Equipment Reservations. This page lists each equipment reservation line-by-line per event.
    Tip: This is a great page to create custom views on.
From Event Reports:
  1. Go to Events.
  2. Go to Reports > Selected Event Setup Form.
    Note: Only approved equipment displays on the report.
From Facility Reports:
  1. In the Advanced menu, go to Facilities > Equipment Reservations.
  2. Go to Reports > Selected Event Setup Form.
