Realm Permissions List

A list of the individual permissions that you can include in your Realm site's responsibilities.

Administrator Permissions

Users with the Administrator responsibility have permission to view and manage all data in all areas of Realm.

Staff/Volunteer Permissions

View Background ChecksSee an individual's background check history and the screening results.
Edit Background ChecksUpdate background check fields on individual profiles.
Order and View Full Background Checks ResultsManage permissions on the Verified First website.
Launch Check-In KiosksLaunch, in any of the three available modes, a check-in kiosk that has already been created. Cannot edit or delete kiosks.
Manage KiosksAdd, edit, delete, and launch a check-in kiosk.
View Giving Summary on DashboardView (only) the Giving dashboard and the Contributions section of the Overview dashboard. Cannot click funds to see individual contributors.
View Individual ContributionsView contributions and giving numbers on the Giving tab of individual profiles, but not edit the information. Access Giving tabs on individual profiles and print individual giving statements. Print giving statements in mass by accessing Giving > Statements on the main menu. While there, can also view previous instances of generated giving statements and print or email them again. Create and print reports and access some of the options available in the Select an Option drop-down list (cannot add individuals to groups or pathways). Can access all the options in the export/print list. View Giving dashboard and click links to view lists of individual givers and amounts.
Manage Funds, Campaigns, Online Giving, and In Memory / In HonorView, edit, and delete current and previous pledge campaigns. Add new campaigns. Set up online giving and online giving forms. Add, view, edit, and delete funds. Allow contributors to give in memory or in honor of someone else. View Pledges dashboard but cannot click links to view list of individual pledgers. Cannot access Giving tab on individual profiles. Cannot access Giving dashboard.
Enter GiftsAccess the Contributions page from the Admin menu. Add, edit, and delete contributions. Add, edit, and delete batches. Import batches. Cannot post batches. Cannot access Giving Dashboard. Cannot access Giving tab on individual profiles.
Post GiftsAccess the Contributions page. View, add, edit, post, import, and delete batches. Add, edit, and delete contributions. Void posted transactions. See both open and posted batches. Add contributions to batches. Print Gift List and Fund Distribution report. Cannot access Giving tab on individual profiles.
Enter PledgesAdd, edit, and delete pledges. View the Pledges dashboard but not open individual links or graph elements to see lists of pledgers.
Manage Ministry AreasAccess the manage groups page from the Groups > Ministry Areas menu. Add events, groups, and ministry areas. Add top-level ministry areas. Edit group information. View inactive groups. Post group resources. Mark group attendance, print group rosters, issue group invitations, delete groups and export group rosters. Access the Groups > Promotions menu. Set up promotions and promote. Access the Groups > Attendance menu. Add, edit, and delete attendance profiles. Mark attendance and print attendance sheets. Access the Group Types tab under Groups > Settings. View, add, edit, and delete group types. See Groups tab on individual profiles. Can see all tabs on a group's page except for Posts. Can see the Attendance dashboard and click graph elements to open related lists.
Manage LocationsAdd, edit, and delete locations under Groups > Settings on the Locations tab. Cannot set up/edit groups and ministry areas.
Add GroupAccess Manage Groups page. Add groups from this page, but not add, edit, or delete ministry areas and events. See Info, Events, Participants, and Resources tabs on groups' main pages. But cannot add/edit events, members, or resources. Cannot edit info for existing groups, but can print/export roster and send invitations using ellipsis next to group name on group's page.
Edit GroupAccess Manage Groups page. Add groups from this page, but not add, edit, or delete ministry areas and events. See Info, Events, Participants, Invites, and Resources tabs on groups' main pages. Can edit group info by clicking the edit icon that appears when you hover over a group name. Add/edit events, members, or resources. Print/export roster, send invitations, mark attendance, and print marking sheets using the ellipsis next to the group's name on its page.
Delete GroupDo everything listed under Edit Group. Additionally, you can delete a group using the ellipsis next to its name on the group's page.
View Details for Individuals View but not edit or delete information on a profile. Cannot add profiles. Can view and send/remove reminders under Profiles > Pending Invites. Can create, save, and share reports. Without this permission, you cannot see Custom Query on the menu.
Add IndividualDo everything listed under View. Additionally, you can add profiles but cannot edit existing profiles.
Edit IndividualDo everything listed under Add. Additionally, you can edit existing profiles. Cannot delete, mark inactive/active or merge profiles.
Delete IndividualDo everything listed under Edit. Additionally, you can delete profiles and mark profiles as inactive/active.
Merge IndividualDo everything listed under Delete. Additionally, you can merge profiles. Please note that this permission allows viewing of some pledge and private group information, necessary when merging records.
Mark as DeceasedDo everything listed under Merge. Additionally, you can mark individuals as deceased.
Profile AlertDo everything listed under Edit. Additionally, when editing a profile you can access the Profile Alert field.
Manage Profile FieldsAdd, edit, and delete custom fields; edit system fields. See Info, Events, Participants, and Resources tabs on groups' main pages.
Manage NotesDo everything listed under Edit Individual. Additionally, see the Notes tab on individual profiles. Add, edit, and delete notes.
Manage Private NotesDo everything listed under Manage Notes. Additionally, see and add private notes on the Notes tab of individual profiles. Private notes can only be edited or deleted by an admin or the person who entered them.
Manage AttachmentsAdd attachments to individual profiles. View and edit all attachments, regardless of who added them.
Manage Giving NumbersAdd, edit, and delete giving numbers from the Info tab of an individual's profile.
Manage Realm Account Sign-Up RequestsApprove or decline requests for a Realm account from the Realm Account Sign Up Requests link on the Overview Dashboard. This also automatically grants the View Details for Individuals , Add Individual, Edit Individual, and Delete Individual permissions. Only available if you have an invitation model that is Open or has Invite + Realm Account Sign Up Requests.
Manage Relationship TagsAdd, rename, combine, and delete relationship tags on the Relationship Tags tab under Profiles > Settings. Note that a user does not need this permission to view, add, or remove relationships on profiles. Those actions are controlled by the View Details for Individuals , Add Individual, and Edit Individual permissions.
Manage PathwaysAdd, edit, and delete pathways.
View PathwaysSee and access Pathways from the main menu. View but not edit pathways. View the Pathways tab on individual profile pages.
Manage RegistrationsRegister people for events. Change or cancel existing registrations. Email event registrants. Enter, edit, delete registrant payments. Issue refunds.
Manage EventsCreate, edit, copy, cancel and delete registration events. This also automatically grants the Manage Registrations permission.
Process Online Event PaymentsProcess online payments for an event on behalf of any registrant. This also automatically grants the Manage Registrations permission.

Leader Permissions

PermissionAllows...
Edit profilesGroup, pathway, serving team, and ministry area leaders to edit contact and personal information (Basics section only) for anyone in their group, pathway, team or ministry area.
Note: If an individual has set permissions for this information to Users with permission only, leaders will not be able to edit it.
Manage group/pathwayGroup, pathway, and ministry area leaders to add existing profiles to groups, pathways, or ministry areas they lead. Group leaders can also create group events.
Add new profiles to RealmGroup, pathway, serving team, and ministry area leaders to add new individuals to Realm while also adding them to the groups, pathways, teams or ministry areas they lead.
Note: This check box works in conjunction with the one above. If you select this one, but then manually turn off the one above, leaders will not be able to add individuals.
Edit basic team detailsServing team leaders to edit team name and attendance metrics, if metrics are enabled.
Manage team rosterServing team leaders to search existing Realm profiles and add them to the team roster.
Manage team schedulesServing team leaders to create, publish, and edit schedules for their team.
