Melissa Data SmartMover Monthly Schedule

Note: Melissa Data SmartMover is one service on two schedules and no matter which schedule you use, all of the submitted records are evaluated the same way. The difference is which records you submit to Melissa Data SmartMover for review. With the monthly schedule, submit Contact records associated with all addresses to Melissa Data SmartMover for review. This ensures that you're notified if any Contact in your system submits a Change of Address Notification form. Because every Contact associated with an eligible address are submitted, this returns a larger data set than what you submit to the nightly schedule. When people move, they can (and should!) complete a change of address form with the USPS. With Melissa Data SmartMover Service, you can receive notifications if someone in your system changes their address. This ensures you're updated when your people move.

Note: The Melissa Data SmartMover monthly schedule is a premium service that evaluates a large number of records, which uses a large number of Melissa Data SmartMover credits.
On the first of every month, Melissa Data SmartMover checks all Contact records associated with all addresses. Why Contact records and not Address records? Because the Melissa Data SmartMover service first evaluates whether an individual (AKA Contact) submitted a Change of Address Notification form. If they submitted a Change of Address form:
  1. The change of address information submits to the notification workflow, and
  2. The old address does not validate.
  • This integration requires a Melissa Data SmartMover Account and configuration for address validation.
  • On the first of every month, every individual associated with a Household in your system checks against the National Change of Address database (NCoA) to see if any addresses changed.
  • If addresses changed, a task assigns to the Address Change Task User identified on the Domain record. The task identifies whether the family or individual completed a Change of Address card.
  • The Address Change Tasks are added based on the Household's last name and the address associated with it. So if people in the same household have different last names, there will be one task to update the address associated with the Household with the last name of the person who completed the Change of Address form.
  • Addresses do not automatically update, so you can review them and confirm the change is appropriate. Often, an address change signals the need for other updates. Consider some possible scenarios:
    • Family Moves: Update Address.
    • Child Ages Out: Create a new Household, place the former child in this Household as a Head of Household, and create a new Address for this Household. The old address remains unchanged, associated with the original Household and its remaining members.
    • Head of Households Divorce: There may be separate Change of Address forms, you must split the Household, you must create and update addresses, you may need to update marital status, and you may need other Household records for minor children, Donor Statement Type updates, and so on.
  • For any changed Addresses, the Do Not Validate field is set to Yes so you can review and update the address you know will trigger a change notification.
  • The Address Change Task User can review the address change and update the address record using the Add/Edit Family Tool or directly on the address record. When the Address Change Task User updates Address Line 1 (you can and should update other parts of the address, but the following changes do not occur unless they update Address Line 1) on the address record:
