Synchronize Diocesan Data with Parish Data

Once you're set up for data synchronization, you can transfer family/member and financial data from parishes via our secure web service.

Sync Family and Member Data

  1. On the Parishes & Facilities tab, click Data Transfer > DioNet Web Service > Family/Member - Synchronize Diocesan Data with Parish's Data.
    The sync wizard opens, searches the data, and displays a list of your parishes.
    Tip: There is a short cut to this process on the File menu. If you've already set up your web service and just need to run the process: On the File menu in your PDS program, click Import Data > Import Family Information.
  2. If you've attached parish Realm sites, click Yes to pull in data from Realm.
  3. Parishes with new data are selected by default. Select Show Only Parishes that have Changed to view only the parishes that have new data since the last sync.
  4. Select or clear the Update Data checkbox to include or remove any parishes in the sync.
    Note: The Program Version displays the parish's PDS Office version. The Date Parish Synchronized is when the parish last uploaded its data to the web service.
  5. Select any additional options you want, then click Next.
  6. If changes are found, you can review them before syncing. For each item in the grid, click in the Action to be Taken column and select an action.
    Tip: To select the same action for all items, click the arrow beside the Mark All Lines As button, select an action, then click Mark All Lines As.
    • To view the details of an item, select it and click the Details of the Current Item tab. Changes made in another PDS program display in red. Click the arrow column to change whether the diocesan data or the parish data is synchronized. The New/Old column reflects if the change is new (included in the current data sync) or old (included in a previous sync).
    • Click the Edit Diocese tab to edit the current diocesan information. Any changes you make here are saved, even if you exit the process before synchronizing.
    • Click the Edit Parish tab to edit the information received from the parish. Changes you make here are saved once you click Save Changes or complete the process.
  7. After you select an action to take for all items, click Next.
    Note: If you don't have time to sync all families, you can update one family at a time instead. Select the family then click Apply Now at the bottom.
  8. Optional: You can select whether to sync financial information from the parishes during this process. Remember, you can always sync this data later using the Sync Financial Data process. If you'd like to do this now, select Synchronize Financial Information. Click Next.
  9. Click Start Update to start the transfer.
  10. When the process is complete, click Finish.

Sync Financial Data

  1. On the Parishes & Facilities tab, click Data Transfer > DioNet Web Service > Financial - Synchronize Diocesan Data with Parish's Financial Data.
    The sync wizard opens, searches the data, and displays a list of your parishes.
  2. Parishes with new data are selected by default. Select Show Only Parishes that have Changed to view only the parishes that have new data since the last sync.
  3. Select or clear the Update Data checkbox to include or remove any parishes in the sync.
    Note: The Program Version displays the parish's PDS Office version. The Date Fund Synchronized is when the parish last uploaded its financial data to the web service.
  4. After you select the parishes to update, click Next.
  5. A list of financial information displays. Review the data to be synchronized, then click Next.
  6. Click Start Update to start the transfer.
  7. When the process is complete, click Finish.

Replace Members in the Diocese

If you'd rather, you can pull member information from selected parishes without having to review each family.

  1. On the Parishes & Facilities tab, click Data Transfer > DioNet Web Service > Set the Options Used in Synchronization.
  2. On the Member tab, select All Member General Information and Remove members that are no longer at the Parish. You can select other options as needed.
  3. Click Save then Close.
  4. Click Family/Member - Synchronize Diocesan Data with Parish's Data.
  5. If you've attached parish Realm sites, click Yes to pull in data from Realm.
  6. Select the Update Data checkbox to include the parishes whose members you want to replace.
  7. Select Replace Members in the Diocese. You can select other options as needed.
  8. Click Next.
  9. If there are additional changes, you can review them and continue the sync process. Otherwise, click Finish.

Save and Finish Syncing Later

Depending on the number of records you have, it may take some time to pull all the data from the parishes you want to sync. Once you reach the point in the sync where the additions, changes, and deletions display, you can save your work and come back to it later.

  1. When you reach the step with the grid of data to review, click Finish Later at the bottom.
  2. Click Yes to confirm that you want to stop the process and save your work.
  3. Later, when you're ready to finish it, click the sync process you want.
  4. The sync you saved displays with the date, time, and parishes it contains.
    • If this is the one you want to continue with, click Yes.
    • Otherwise, you can click No and choose whether to save the sync for later.
  5. You're taken to the last step you worked on during that sync. Continue the sync process as usual.

Set Automatic Updates to Sync Overnight

You can schedule automatic updates to transfer data overnight. This way, you're not interrupted during your regular working hours.

  1. On the Parishes & Facilities tab, click Data Transfer > DioNet Web Service > Set the Options Used in Synchronization.
  2. Click the Automatic Sync tab.
  3. Select the option(s) to synchronize based on the needs of your diocese.
    Note:

    You can choose whether to sync just families, just funds, or both. There are two parts to the family sync: 1) Pull in data from the parishes, and 2) Synchronize the data using the default actions you selected. Part 1 can take some time, but once it's completed, the information is saved and ready to use in Part 2.

    • Do Family Upload/Download Sync at Night—(Part 1) Pulls in family information from parishes using the DioOffice Server. This process can take some time, and we recommend running it overnight. The information is saved and ready to use in Part 2 of the automatic sync. Alternatively, you can process the saved information manually using the Family/Member Sync, where you're prompted to use the stopped/saved sync at the beginning of the process.
    • Do Family Upload/Download Sync at Night - Finish the Sync—(Part 2) Synchronizes the family information from the parishes with the data in DioOffice using the selected default actions. Once complete, changes made in this process are sent back to the parishes.
    • Do Fund Upload/Download Sync at Night—Pulls in fund information from parishes using the DioOffice Server, and synchronizes it with the data in DioOffice.
  4. Optionally, enter an email address to send a summary to in the event of an issue during the sync.
  5. Click Save.
