Time Off

Important: The Time Off page is not included in deployments after 2020, but may be provided as a professional service upon request. We will continue to support these pages for existing customers who have them.
  • The Time Off page is located in the Staff Stuff section.
  • Utilized for requesting, processing, and tracking staff time off.

Create a New Time Off Request

  1. Go to Staff Stuff > Time Off.
  2. Click New Time Off.
  3. Enter the details for this time off request.
  4. Click Save.

Edit a Time Off Request

  1. Go to Staff Stuff > Time Off.
  2. Open the Time Off Request you want to edit.
  3. Click Edit.
  4. Update the information.
  5. Click Save.

Approve a Time Off Request

  1. From your MinistryPlatform Home page, open the task.
  2. Click the record preview icon to view the request details.
  3. Click Cancel to close the task.
  4. Click the check box next to the time off request task you want to approve, then click Complete.

Create a Time Off Approval Process

You can create a process to automate the approval process and streamline communication. Processes can have several steps, such as getting approval and sending emails. Here's an example of the steps that could be involved in a Time Off Approval process.

  1. Confirmation Email: An email sent to the individual requesting time off confirming the request has been submitted.
  2. Supervisor Email: An email sent to the individual's supervisor alerting them that a new time off request has been submitted.
  3. Approval: Supervisor: A task is created in MinistryPlatform requiring the supervisor to approve or deny the request.
  4. HR Email: An email is sent to HR alerting them that a supervisor approved a new time off request.
  5. Approval: HR: A task is created in MinistryPlatform requiring an HR representative to approve or deny the request.
  6. Approved: The request status is updated to Approved.
  7. Confirmation Email: An email is sent to the individual confirming that their request has been approved by all necessary parties.

Create and Edit Time Off Types

To best match your staff's needs, SPoCs can customize the Time Off Types that display in the drop-down menu when you create or edit a request. In addition to PTO and sick time, some churches track other types of time off, such as conferences, business travel, or officiating a wedding or funeral.

  1. Go to System Lookups > Time Off Types.
  2. Click New.
  3. Enter the Time Off Type.
  4. Click Save.
