Name Formats

Standardize how names display in Realm and how they export for individuals.

How formally or informally do you want to address people in their contribution statements? With name formats, you no longer have to guess the answer to that question. You decide if you want to address "Jim and Ellie Aaron", "Mr. and Mrs. James Edward Aaron", or the names in between.

If you need to override the label assigned to an individual, you must do so through that person's profile.

What areas do Name Formats affect?

When you perform any of the following tasks, the option to edit or select formal or informal labels displays:

  • Edit an individual's basic profile information
  • Print individual labels from Groups, Pathways, the Attendance Dashboard, and the Involvement Dashboard
  • Generate a Contribution or Pledge Statement
  • Print labels and export lists for Giving Amount (total), Pledge Amount (total), Group Attendance, and Pathway Participation custom query reports

Edit Name Formats

Edit predefined name formats to include or exclude certain parts.

You must be an administrator to do this.

  1. In the top-left corner, click your ministry hub then Realm. Then click Profiles > Settings.
  2. Click the Name Formats tab.
  3. Click Edit Name Formats.
  4. Select the optional name parts (highlighted in blue) that you want to include, or clear those that you want to exclude.
    Note: Gray name parts are mandatory and cannot change. Dark blue parts are optional and included. Light blue parts are optional and excluded.
    The example updates as you make your selections.
  5. Click Save.
  6. Confirm that you understand which name formats will be updated with your changes by clicking Save.

Override Label Names

Update the way an individual's name displays on their contribution or pledge statement.

You must be an administrator to do this.

A congregant may ask you to remove or alter the name that displays on a label. For example, if a congregant prefers for his middle name to not show on his contribution statement, override the format by removing it from the label names listed under Contributor on his profile.

  1. Locate and open the individual's profile.
  2. On the Info tab, click Edit.
  3. Expand either the Individual or Contributor section.
    A series of label names displays.
  4. Edit a label name to override the original format.
    The new label name will replace the old one where applicable.
  5. To revert back to the default label name, click .
  6. Click Save.

Before you edit or override label names, review them on an individual's profile to understand where they apply.

In order for certain labels to display correctly, you must apply the appropriate information to an individual's profile. For example, make sure the Title field is populated to include it with your formal salutations. Alternatively, you can override labels and salutations yourself.

People and Personnel

Formal Label
This label option can display on query reports and individual group or pathway labels. It contains the Title, First, and Last by default (e.g. Dr. Jane Aaron). However, it may also include the Middle and Suffix as optional parts of the name (e.g. Dr. Jane Eleanor Aaron, PhD).
Informal Label
This label option can display on query reports and individual group or pathway labels. It contains the Preferred and Last by default (e.g. Ellie Aaron).
Formal Salutation
This is one of four label options that can display on individual lists that are printed from custom query results for Groups and Pathways. It contains the Title and Last by default (e.g. Dr. Aaron). However, it may also include the Suffix as an optional part of the name (e.g. Dr. Aaron, PhD).
Informal Salutation
This is one of four label options that can display on individual lists that are printed from custom query results for Groups and Pathways. It only contains the Preferred by default (e.g. Ellie).

Contributor

Formal Label
This is one of two label name options that can display on the envelope of a contributor's giving statement. It contains the Title, First, and Last by default (e.g. Dr. Jane Aaron). However, it may also include the Middle and Suffix as optional parts of the name (e.g. Dr. Jane Eleanor Aaron, PhD).
Informal Label
This is one of two label name options that can display on the envelope of a contributor's giving statement. It contains the Preferred and Last by default (e.g. Ellie Aaron).
Formal Salutation
This is one of two label name options that you can drag and drop into a contributor's cover letter and personal message. It contains the Title and Last by default (e.g. Dr. Aaron). However, it may also include the Suffix as an optional part of the name (e.g. Dr. Aaron, PhD).
Informal Salutation
This is one of two label name options that you can drag and drop into a contributor's cover letter and personal message. It only contains the Preferred by default (e.g. Ellie).
Tip: When you create a Custom Query, the labels that display in your results vary depending on which type of query it is.

If you see results for a custom query about Groups or Pathways and print a list, the formal and informal labels and salutations you select will be those you set up for People and Personnel.

If you see results for a custom query about Giving Amount (total) or Pledge Amount (total) and print a list, the formal and informal labels and salutations you select will be those you set up for Contributors.

What about shared giving?

When giving is shared between two contributors, their basic profile information determines how their names display on their statement.
