Reassign or Copy a Parent/Guardian

You can reassign a parent or guardian to another family, create a new family record using their information, or copy the individual's information to a new record. For example, if a student's parents separate, divorce, or no longer live together, you can reassign one parent to a new family while retaining the connection to the student's record.

Reassigning a parent/guardian means you move their entire record from one family to another.

Copying a parent/guardian means you copy all the data from their record into a new parent/guardian record in another family. The existing record remains in tact in the "old" family.
CAUTION: When you copy a record, this is a one-time copy of the original record. It is not a link to it or a shared record. After copying, if you update any data on one record, it is not updated on the copied record.

Reassign a Parent/Guardian

  1. On the Information tab, click Parents & Guardians. Locate the appropriate record, then click Reassign/Copy Parent/Guard..
  2. Select whether to create a new family record or add the parent/guardian to an existing family.
  3. Enter or select the ID number or family name.
  4. If needed, select the checkbox to copy addresses, phone numbers, and email addresses from the old family record.
  5. When you're ready, click Reassign Parent/Guardian.

The "original" record is moved to the family you selected.

Copy a Parent/Guardian

  1. On the Information tab, click Parents & Guardians. Locate the appropriate record, then click Reassign/Copy Parent/Guard..
  2. Select to copy the parent/guardian's information into a new record in either a new family or an existing family.
  3. Enter or select the ID number or family name.
  4. If needed, select the checkbox to copy addresses, phone numbers, and email addresses from the old family record.
  5. When you're ready, click Copy Member.

You are taken back to the "original" record. To view the copied record, locate the other family you selected.
