View Permissions
While all Page Views appear in the drop-down list next to the Search button, there are three basic types of page views with varying permissions:
- Personal Views (User Views): Visible only to their creator who used the Advanced Search tool to create them. Can be on Pages or Sub-Pages.
- Shared Views (User Group Views): Visible to all users in a specific User Group because the user that created the view with the Advanced Search tool opted to share the view. Can be on Pages.
- System Views: Visible to all users unless restricted by a specific security role. Can be on Pages or Sub-Pages.
Shared Views
To share a View with others, you can assign it to a User Group using the Advanced Search tool. The View continues to be a function like a Personal View, but others in the User Group may run or alter it. Shared Views are italicized in the View drop-down list. See Personal Views (Advanced Search).
System Views
Views which have no User or User Group specified are available to everyone and may only be edited in the System Setup area. See System Views.
Page Permissions
To add a field from a related table, a user must have at least read access to that page. If only the record ID is visible in Advanced Search, the user's rights must be adjusted.
No Page Permissions
When a User has no permissions to a Page, it appears as a sheet icon. Adding it to the field list will result in an ID field.
Read Page Permissions
When a User has read permissions to a Page, it appears as an expandable folder icon. All fields in the page are available in the Advanced Search.
Turn a Personal View into a System View
- Go to .
- Open the Page View record.
- Look for the User and User Group fields (usually the last two fields on the record detail), and clear both values so there is no user and no user group assigned to the view.

The View is accessible to anyone who has permissions to the page in MinistryPlatform.
- The View is no longer editable by using the Advanced Search feature (it is only editable through the System Setup area).
