View Permissions

A brief overview of the permissions you need to see and use different types of views in MinistryPlatform.

While all page views display in the drop-down list next to the search button, there are three basic types of page views with varying permissions:

  • Personal Views (User Views): Visible only to their creator who used the Advanced Search tool to create them. Can be on pages or tabs (sub-pages).
  • Shared Views (User Group Views): Visible to all users in a specific user group because the person that created the view with the Advanced Search tool shared the view. Can be on pages.
  • System Views: Visible to all users unless restricted by a specific security role. Can be on pages or tabs (sub-pages).

Shared Views

To share a view with others, you can assign it to a user group using the Advanced Search tool. The view continues to be and function like a personal view, but others in the user group may run or alter it. Shared views are italicized in the view drop-down list. System Views

Views with no specified user or user group are available to everyone. You may only edit them in the System Setup page. See System Views for more information.

Page Permissions

To add a field from a related table, a user must have at least read access to that page. If only the record ID is visible in Advanced Search, adjust the user's rights.

No Page Permissions

When a user has no permissions to a page, it displays as a sheet icon. Add it to the field list to create an ID field.

Read Page Permissions

When a user has read permissions to a page, it displays as an expandable folder icon. All fields in the page are available in the Advanced Search.

Make a Personal View a System View

You can use the Advanced Search to create a personal view, which is a view that only you can see. Personal views are italicized in the view drop-down list. See Personal Views for more information and how to create a personal view.

  1. In the navigation menu, click System Setup > Page Views.
  2. Click the page view to open the page view record.
  3. Click Edit Record.
  4. Clear the User field.
  5. Clear the User Group field.
  6. Click Save.
Anyone with permissions to the view's page can access the view, and you can't edit the view using the Advanced Search - you can only edit it in the System Setup area.
