Event Participants
A brief overview of the Event Participants page, including the fields you'll find in this page and their definitions.
The Event Participants page is under People Lists. It's a line-by-line representation of all the Participant records associated with Events. You can have multiple lines per person. For example, if you attended an Event last month and registered for an Event occurring next month, you have two records on the Event Participants page - one from last month's Event and one for next month's Event.
Event Participants Field
- Event
- The Event associated with the Participant.
- Participant
- The applicable Participant record.
- Participation Status
- There are several Participation Statuses:
- 01 Interested: "I'm thinking about attending but haven't registered yet."
- 02 Registered: "I signed up for this event!" Event Registration uses this status.
- 03 Attended: "I am on campus somewhere and confirmed I am here, probably by checking in at a kiosk. I might not have made it to my appropriate room or class yet."
- 04 Confirmed: "Someone that can take attendance saw me in the room where I am supposed to be and confirmed that I actually came to class."
- 05 Canceled: "I thought I was coming but changed my mind, or someone thought they saw me but then realized I wasn't actually there." For more on canceling an Event Participant, see Managing Big Event Registrations.
- 06 No Show: "I registered for the Event but did not show up."
- 20 Abandoned: "I started registering but didn't finish submitting the form." The Abandoned Invoice Clean Up Process uses this status. Learn more about abandoned invoices on Default Processes.
- 21 Awaiting Payment: "I registered but may not have paid yet." Event Registration and the Abandoned Invoice Clean Up Process both use this status. If you receive payment, the Participation Status updates to Registered. Otherwise, If you don't receive payment, the Participation Status updates to Abandoned.
- Time In
- The time an attendance tool like Check-In or Roll Scan Attendance marked the Participant as attended.
- Time Confirmed
- The time the Participant plans to attend an Event in response to an invitation.
- Time Out
- The time the Classroom Manager checks out the Participant.
- Notes
- Additional comments added manually or through Check-In, Classroom Manager, or Widgets.
- Group Participant
- The Event Participant's Group Participant record, if the Event relates to part of the Group. Group and Event records are related. You can set this value manually or through Widget registration, Check-In Suite attendance, the Roll Scan Attendance Tool, various reports, or a nightly routine.
Once you set this field on the Event Participant record, MinistryPlatform doesn't record any changes to the Group record. These values become independent.
CAUTION: We do not recommend you set this value manually. - Check In Station
- The IP address or what's in the Machine Name field on the Check-In Suite home screen of the Check-In station used to check in.
- Call Parents
- You can use this field to customize the Call Parents feature in the Classroom Manager.
- Setup Date
- The date and time the system created the Event Participant record.
- Group
- The Group related to the Group Participant. You can set this value manually or through Widget registration, Check-In Suite attendance, the Roll Scan Attendance Tool, various reports, or a nightly routine.
Once you set this field on the Event Participant record, MinistryPlatform doesn't record any changes to the Group Participant record. These values become independent.

- The Room related to the Rooms & Groups (Room Reservation) where they attended the Event. You can set this value manually or through Widget registration, Check-In Suite attendance, the Roll Scan Attendance Tool, various reports, or a nightly routine. CAUTION: We do not recommend you set this value manually.
- Group Role
- The Group Role from the associated Group Participant record.
- Response
- If applicable, the Response record of the Opportunity configured to Add to the Event of those that responded.
- Registrant Message Sent
- If applicable, this field indicates whether the optional Registrant Message was sent.
- Attending Online
- If set to Yes, the Participant attends the Event virtually, not physically. You can set this field manually or based on an Option Price selection.
