Posting Attendance

There are several ways to track event attendance in MinistryPlatform. Which method should you use? That depends on who posts attendance, when they post attendance, and what resources are available.

Check-In

When someone checks in using Check-In, attendance automatically posts. This attendance always posts against the selected person's Participant record and may connect to one of that person's Group Participant Records if the Group was associated with the Event.

Group Attendance Tool

This option is helps mark attendance for Events that have Groups associated with them. Check out Group Attendance Tool for more information.

Roll Scan

With the Roll Scan Attendance Tool, you can take Group-based attendance using a barcode reader. Check out Roll Scan Attendance Tool for more information.

Group Life

With Group Life, group leaders can take attendance without accessing the Platform. It's perfect for Small Groups or Adult Sunday School Classes.

If you can't use any of these options, you can mass assign attendance or manually post attendance from an Event record or Participant record.

Mass Assign Attendance from the Event Participants Page

  • You must have Assign rights on this page to do this.
You can mass assign attendance to quickly post attendance when people registered before the event.
Warning: Assign with care! This is a powerful tool, and you should use it with caution as undoing an assignment can be time-consuming and costly. Limit this feature to users trained to use it wisely and correctly.
  1. In the navigation menu, click People Lists > Event Participants.
  2. Clear any current/unsaved selections.
  3. Locate and select the Event Participant records.
  4. From the Actions menu, select Assign.
  5. Select the Participation Status check box.
  6. Select 03-Attended from the Participation Status drop-down list.
  7. Click Assign.
  8. Click OK.

Post Attendance from an Event Record

This is the simplest way to post attendance.
Note: This way isn't useful to post attendance linked to someone's Group record. In this case, it's better to use the Group Attendance Tool, Check-In, or My Groups options.
  1. In the navigation menu, click Events.
  2. Open the Event record.
  3. Click the Participants tab.
  4. Do one of the following:
    • Click each registrant record and change their Participation Status from 02-Registered to 03-Attended.
    • Click New Event Participant to add a person and post attendance for them.
    • From the Actions menu, select Add Participants to post attendance for a selection of people. You may have already created a selection on the Participants page.

Post Attendance from a Participant Record

You can view and edit attendance history under a specific individual's Participant record. This approach is not common.

  1. In the navigation menu, click Participants or Members.
  2. Open the person's record.
  3. Click the Events tab.
  4. Do one of the following:
    • Click New Event Participant to add the Event and post this Participant's attendance for it.
    • From the Actions menu, select Add Events to post attendance for this person at multiple events.
