Weekly Services Scheduling

You have several options when scheduling weekly services.

Group people by their week of service

In this scenario, the church creates groups based on the week of service and communicates with people in those groups in advance of that week. In this scenario, a teacher may be in multiple groups.

Use Group Roles that indicate weeks of service

In this scenario, the church uses group roles to quickly find, select, and communicate with people based on their group roles. Example roles are Teacher 1&3, Teacher 2&4, Teacher 5, Teacher Sub, and Teacher All. In this scenario, teachers may be listed multiple times in a single group.

Use the RSVP feature through My Groups

In this scenario, the church has individual leaders of groups send RSVP emails to the teachers and leaders of their groups, and they manage the expected attendance of their team from week-to-week. For best results, the groups should be explicitly listed by the staff as part of the events in which they serve.

Use the Service Notification

In this scenario, the church connects the appropriate serving groups to upcoming events. These group(s) should have Send Service Notification set to Yes. Each week, the system automatically sends a service reminder email to those scheduled to serve.

Use Yes/No checkboxes to denote the Weeks Expected of each group participant

Note: Custom setup is required for this option.
In this scenario, the church contacts Support to add six fields to the Group Participant record, and the church then selects the weeks expected of each group participant. These check boxes can be used to create views to manage weekly reminders. Additionally, churches using Enterprise Edition of SQL Server may commission us to set up a reminder email to be sent to those who are expected to serve in the upcoming week based on these checkboxes.
