Weekly Services Scheduling
Several scenarios to help you schedule weekly services for children's ministry.
Group People by their Week of Service
In this scenario, the church creates Groups based on the week of service and communicates with people in those Groups prior to that week. In this scenario, a teacher may be in multiple Groups.
Use Group Roles that Indicate Weeks of Service
In this scenario, the church uses Group Roles to quickly find, select, and communicate with people based on their Group Roles. Example roles are Teacher 1&3, Teacher 2&4, Teacher 5, Teacher Sub, and Teacher All. In this scenario, teachers may be listed multiple times in a single Group.
Use the RSVP Feature through My Groups
In this scenario, the church has individual Group leaders send RSVP emails to the teachers and Group leaders, and they manage the expected attendance of their team from week-to-week. For best results, the staff should explicitly list the Groups as part of the Events they serve in.
Use the Service Notification
In this scenario, the church connects the appropriate serving Groups to upcoming Events. These Group should have Send Service Notification set to Yes. Each week, the system automatically sends a service reminder email to those scheduled to serve.
Use Yes/No Check Boxes to Specify the Weeks Expected of Each Group Participant
In this scenario, the church contacts Support to add six fields to the Group Participant record. Then, the church selects the weeks expected of each Group Participant. You can use these check boxes to create views to manage weekly reminders. Additionally, churches using Enterprise Edition of SQL Server may commission us to set up a reminder email to send to those expected to serve in the upcoming week based on these check boxes.
