Communicating with Pledge Donors

Learn more about communicating with your Pledge Donors through Reports, emails, texts, and tasks.

Reports

One method for communicating with donors who have made pledges is to select the Pledge records on the Pledges page and run a report like Selected Labels, Selected Call List or Selected Mail Merge. There are also a few reports designed specifically for Pledges and Pledge Campaigns:

  • The report titled Selected Pledge Letter can be used in combination with letter templates stored in Communications > Letters. Letters can be sent upon pledge entry, first gift, pledge completion, and at times throughout the campaign.
  • The report titled Selected Campaign Donor Summary Export is found only on the Pledge Campaigns page. However, it is the most comprehensive export of data related to the campaign and can be used for mail merges to all those participating in the campaign even those who are giving unpledged donations.
  • The report titled Pledge Campaign Statement Selected is found the Donors page and can be used to run a statement for the Pledge Campaign showing their Pledge and any Donations credited to the Pledge. Donors who have Pledged but not yet donated can be included.
    Note: The Donations listed on this report is not replacement for a formal tax statement, but for informational purposes only.

Email/Text

Use the New Message Tool to send personalized emails or text messages to donors who have an email or mobile phone number on file. View a selection of Pledge records from the pledge grid, then select New Message from the Tools menu.

Note: It may look like all Donors receive a message, but only those who have an email address or mobile phone number on their Contact record actually see this message.

A special field can be included to donors with a Mission Trip pledge. This field adds a Donor-specific link in the new message that takes the donor to My Mission Trips so that they can see how they are doing in the campaign.

Tasks

If a team of folks is participating in calling those who make pledges, a MinistryPlatform user can assign a task to another user by opening a single Pledge record and clicking New Task from the Tools menu. Alternatively, multiple tasks can be created for a single user in relation to many selected Pledges if the New Task dialog box is launched from the Tools menu after viewing a selection of Pledges from the Pledge grid.
