Finalizing a Batch
Cross your t's and dot your i's before you finalize a batch in the Batch Manager Tool.
Before finalizing a batch in the Batch Manager Tool (BMT), you can always close the batch and come back to it later:
- To close an open batch, click the Back button.
- To reopen a batch, simply click the batch to continue working.
Confirm the Batch is in Balance
At the bottom of the BMT, you'll see a summary of the donation details. This visually indicates if your batch is in balance. To balance, you might need to add the remaining donations to the batch, correct donation amounts, or adjust your batch properties.
Confirm the Batch Details are Complete
Your donation rows visually indicate if they are complete. Unmarked rows show that you have all the required details (donor, dollars, and distributions). Rows marked with ashow that you're missing some required details or they're out of balance and you need to edit them.
Review the Batch Summary
You can find detailed reports in the Platform, but to quickly check subtotals, click Batch Summary at the bottom of the batch's donations.
Here you can see a summary of the batch broken down by program.
Export/Print the Batch
You may want a saved or printed record of the batch before finalizing. To do this, select the checkbox beside the batch in the list, then click Export at the top, and choose the file type to save it as. If you want to print it, select either Excel (XLS) or Text (CSV), then you can open the file and print it from that application.
Finalize the Batch
Once you complete and balance your batch, the Finalize button activates. To finalize the batch, click Finalize.
