Assign Distributions

Program included in Selected Programs

The Donation detail lists other Programs you selected in the Batch properties, and you can split the check amount among them as per the check or envelope dictate.

Program not included in Selected Programs

To add a distribution to a Donation, click the +Add to add a new distribution row and choose the Program from the drop-down menu (sorted alphabetically). The Program drop-down list is limited to the first 1,000 records set to available in the Batch Manager Tool.

Important: You can only save changes to a Donation if you move to a new Donation row or finalize the Batch. If you make a change and then close the Batch, close your browser, or view the Batch Summary report, the tool does not save changes to the last Donation row you edited.

Pledges

If you apply Pledges in the BMT manually, as opposed to letting the nightly routine apply Pledges, after you select the Donor (and Program if applicable), select a Pledge from the drop-down menu. The Pledge drop-down menu includes any active Pledges for the Donor and the Donor's Household listed with the name of the Pledge Campaign, the total Pledge, and the First Installment Date.

Note: Even if the Pledge Campaign has an end-date the Pledge is active, it appears in the drop-down menu. The pledging Donor's name appears first. The drop-down menu sorts by the Donor's name.

For Mission Trips, the Pledge drop-down menu always includes the name of the Donor associated with the Pledge, even if it's the same as Donor of the Donation. Select the Mission Trip-related Program and Event. With both these fields populated, the drop-down menu of Pledges includes all Participants of that trip and all Pledges that fit the criteria.

If you choose to select an Event, the list of Events in the drop-down menu includes all Events marked in the Platform with On Batch Manager Tool set to Yes. The Event drop-down menu is limited to the first 1,000 records set to available on the Batch Manager Tool.

Soft Credit Donors

You may individually assign each Distribution to a Soft Credit Donor if needed. In some cases, you may need to split a Donation into multiple Distributions to differentiate Soft Credit and still choose the same Program for each Distribution.

Search for a Soft Credit Donor to see the same information as the Donation's Donor search (Household Position, Envelope Number, Mobile Phone, and Email, if available).
