Volunteer Scheduled Participants
A brief overview of volunteer scheduled participants in MinistryPlatform, including fields you'll encounter and what they mean, and views to review volunteer metrics.
When a volunteer coordinator adds someone to a schedule in Volunteer Connect, MinistryPlatform adds a scheduled participant record for each volunteer. This record indicates the volunteer's involvement for the event and is connected to their participant record. You can view the scheduled participants across all volunteer teams.
Scheduled Participant Fields
- Schedule Role
- The role that this participant is scheduled to serve for this event.
- Participant
- The participant record that this volunteer is associated with.
- Accepted
- This field indicates whether the volunteer accepted (Yes), declined (No), or has not responded (N/A) to their scheduled assignment in Volunteer Connect.Note: If the event date changes, the Event Approval automatically updates the date on the volunteer schedule. Volunteers who accepted or declined assignments will be reset to an N/A response (awaiting status in Volunteer Connect). That way, they can indicate their availability for the new date.
- Notes
- Optional notes that provide more information about this scheduled participant.
- Declined and Hidden
- This is set to No by default. The system automatically updates it to Yes if the coordinator removes the volunteer from a published schedule in Volunteer Connect.
Views for Volunteer Metrics
There are several helpful views on the Scheduled Participants page:
- Participants on Upcoming Schedules: This view helps you see who has upcoming assignments.
- Volunteers Who Declined: This view helps you to see who can't serve their assignments.
Use these views to get a better understanding of your volunteer activity and engagement across the board. This can also help your volunteer coordinators see who is committed to serving and who is not meeting their commitments.
