Recreating Annual Pledges

If your church tracks pledges that renew annually (for example, missionary support or orphan sponsorship), follow these steps to copy your pledge campaign for the new year.

Phase 1: Copy Pledge Campaign & Pledges

Copy all pledges from the original campaign pledge into a new pledge campaign.
  1. In the navigation menu, click Contributions > Pledge Campaigns.
  2. Open the pledge campaign record.
  3. Click Actions > Copy.
  4. Select the Pledges check box from the Copy Sub Page Data drop-down list.
  5. Select the Copy Attached Files check box to ensure all pledge records are copied as well.
  6. Click Copy Record.
    The copied pledge campaign displays on the Pledges page.
  7. Edit the new pledge campaign record.
    Tip: Rename the new pledge campaign record for clarity.

Phase 2: Delete Copied Discontinued Pledges

Phase one copies all pledges from the original pledge campaign. You may have some pledges that were discontinued during the previous year that you need to delete.

  1. In the navigation menu, click Contributions > Pledges.
  2. Clear any existing selections.
  3. Select the discontinued pledge records that were associated with the new pledge campaign. You can run a report, like the Campaign Donation List report, to make sure none of the selected pledges have any donations assigned to them.
    CAUTION: Be careful to not select pledges from the old pledge campaign.
  4. Click Actions > Delete.
  5. Click Delete to delete these discontinued pledges.

Phase 3: Update Dates on the New Pledges

  1. In the navigation menu, click Contributions > Pledges.
  2. Clear any existing selections.
  3. Select the remaining copied pledge records associated with the new pledge campaign. You could even run a report, like the Campaign Donation List report, to make sure none of the selected pledges have any donations assigned to them.
    CAUTION: Be careful to not select pledges from the old pledge campaign.
  4. Click Actions > Assign.Use the Assign tool to give them new start and end dates.
  5. Select the check boxes next to the fields you want to update, and then complete the required fields. For the dates specifically, see these fields:
    1. In the Installments Planned field, enter the number of installments for these updated pledges.
    2. In the Installments Per Year field, enter the number of installments intended for the year.
    3. In the First Installment Date field, enter the date and/or time if the first installment for these pledges.
  6. Click Assign.
