Data Quality Views

An overview of the data quality views designed to help you keep your data clean, including the view, what it does, and which Page it's on.

There are several page views in MinistryPlatform you can use regularly to help keep your data clean and organized. These views start with the word "Fix", and anyone assigned to the Data Quality Team User Group can use them. You create the Quality Team User Group during your MinistryPlatform implementation, and you can add people to this group so that they can use these views.

Each view displays a Page's records that you should review and possibly update. Your church may create additional views or request assistance from Support for views that display data quality issues unique to your setting. For example, you may not want someone who is not a member of your church to serve in children's ministry. You can create that view and title it Fix: Non-Member Serving.

Below is a list of data quality views and what each one displays.

Tip: Want to get an A on your data report card? Send yourself regular data quality view notifications. Just avoid notifications for days with a lot of data changes (like Mondays!) or you might be overwhelmed.

Contacts Page

Fix: 2 Donor Records
This view displays any Contact with more than one Donor record. See also Troubleshooting Donor Problems (Scenario #2).
Note: There is a nightly data quality routine that looks for this scenario. When it finds a record of this type, it duplicates the Contact record, creates the additional Donor record associated with the new record, and adds a "Duplicate of" relationship to tie both records together. You can then combine this using the Combine Contacts Tool.
Fix: 2 Participant Records
This view displays any Contact with more than one Participant record. See also Participant FAQ Q1.

Fix 2: User Records
This view displays any Contact with more than one User record. See also User FAQ Q2.

When it finds a record of this type, it duplicates the Contact record, creates the additional Donor record associated with the new record, and adds a "Duplicate of" relationship to tie both records together. You can then combine this using the Combine Contacts Tool.
Fix: Family of Participant
This view displays active Contacts with Household members who are Participants but don't have a Participant record. To fix the issue, you can automatically create Participant Records. Select the records on the Contacts page, click the Tools button and select. Transfer Selection. Then, copy the records to the Participant page and select Create Missing Records.
Fix: Household Position
This view displays active Contacts that do not have a Household position. Give these Contacts a Household position.
Fix: Make Adult Child
This view displays all Contacts who are 18 or older and listed as a Minor Child. Use the Assign Tool to change their Household position to Adult Child, OR you can move them to a new Household and make them a Head of Household.
Fix: Make Head
These individuals are over 18 years old, the oldest member of their Household, and that Household doesn't have a Head of Household. Set their Household Position to Head of Household.
Fix: Make Minor Child
These individuals are under 18 and do not have a Household Position. Their Household Position should be set to Minor Child.
Fix: Mismatch People
Contacts whose associated Participant, Donor, or User record do not refer back to this Contact or with multiple records referring back to this Contact.
Fix: Mobile Phone
The proper formatting for phone numbers is 000-000-0000. This view displays records with any other formats that you need to fix.
Fix: Name Missing
This view displays all Contacts who are Companies with an empty Company Name field or who are Individuals with an empty First Name or Nickname field.
Fix: Proper Case
This view displays any Contact whose name is in all caps or all lower case.
Fix: Same Email, No Relationship
This view displays Contacts with the same email but they aren't related (either in the same Household, no Household, or with some other relationships).
Fix: Male with Female Title
This view displays Contacts with a gender of Male but a female title (for example, Miss).

Contact Relationships Page

Fix: Related to Self
This view displays any person with a relationship to themselves. A person should not be related to themselves. You can delete these records.

Events Page

Fix: Assign Participants
This view displays Events that contain Default Contacts. You should open each Event and use the Assign Participant Tool to assign any Default Records to the appropriate Contacts.

Event Participants

Fix Group or Group Participant
This view displays any discrepancies between the Group Participant and Group-associated records with the Event Participant record.
Remember: As a best practice, you shouldn't manually add the Group Participant and Group-associated records to the Event Participant record. This value is set when people register or check into the Check-In Suite. To correct these records, you must review and correct either the Group that they checked into or the associated Group Participant record.
Fix: Reassign Participants
This view displays any Default Contacts that you should reassign to Participant records.

Group Participants Page

Fix: Multiple Grade Groups
This view displays individuals that are in two Age or Grade Groups.
Fix: End Date Needed
This view displays three types of people:
  • People currently in a Group that ended.
  • People currently in a Group but they are inactive.
  • People currently in a Group but they are deceased.

Review and correct each of these records.

Fix: Past Group End Date
This view displays any Group Participants without an end date who are in a Group with an End date.

Households Page

Fix: Home Phone
The proper formatting for phone numbers is 000-000-0000. This view displays records with any other formats that you need to fix.
Fix: Too Many Heads
Households should have no more than two Heads of Household. This view displays all Household records with more than two Heads of Household. Review and correct these records.
Fix: Review Household Name
This view displays Households where the Household name is not the same as the last name of the Head of House. Review and correct these records as needed.
Fix: Review Last Congregation
Use this view to compare a Houshold's assigned congregation to which a Household to their recent activity. If much of the Household's recent activity took place at an alternate campus, consider using Mass Assign to update the Household's congregation. This view only displays Households with at least one active individual. If you don't regularly update the Activity Log, this view will return no records.

Participants Page

Fix: Add Participant End Date
This view displays any Participants with Contact records marked Inactive or Deceased whose Participant record is not end dated. Use the Audit Log on the Contact page to see when you marked the Contact as Deceased or Inactive, and update the Participant record accordingly.
Fix: Companies to Remove
This view displays any Contact record marked as a Company that has Participant record. Companies should not have Participant records. See also Participant FAQ Q2.
Fix: Review Continued Activity
This view uses data in the Activity Log to identify Participants marked Inactive or Deceased whose Activity Log indicates that a member of their Household may still participate in your church. For any record to display in this view, you must have updated the Activity Log within the past ten days. For an individual to display in this view, they must have a Participant End Date and a member of their Household must have activity in the past 30 days.
Fix: Review Last Activity Date
Use this view to determine if you should inactivate a Participant record due to lapse in activity. Search and select the records to change and then use the Inactivate Tool.
Fix: Review Recent Activity
Use this view to see which Participants actively engage in the church. It may help to change Participant Types from values like "guest" or "visitor" to "attendee".
Fix: Active Has End Date
Use this view to see which Participants are Active but have a Participant End Date.

Donors Page

Fix: Stmt Method
This view displays Donors in same Household with different Statement Methods. Use this view to prepare to send Donor Statements.

Pledges

Fix: Mark as Complete
This view displays all Pledges that have been paid in full. Update these to complete them.

Program Groups

Fix: Assign End Dates
This view displays Program Groups that you should end date because their corresponding Group record has been end dated.

Scheduled Donations

Fix: Not 9 Digit Routing
This view displays any Scheduled Donation record where the routing number is not nine digits long.

Pages

Fix: Duplicate Unfiltered Pages
This view displays Pages without filters that are listed more than once.

User Group Users

Fix: Users with no Security Role
This view displays Users in a User Group without a Security Role so you can remove Users who do not need to be in a User Group.
