Import Transactions

Import transactions from a CSV.

  • You must have accounting administrator or the appropriate accounting specialist permissions to perform this task.
If different departments manage their transactions inside a spreadsheet or you use a third party software, import your transactions from a CSV. Match the cells within the spreadsheet to the fields in Realm Accounting, and make the transfer yourself.

You can create as many import templates as you need. Reuse these templates to import transactions more efficiently with the settings you saved from previous imports.

  1. In the top-left corner, click your ministry hub then Accounting. Then click Transactions > General Ledger.
  2. On the Import tab, click Add New Import.
  3. Select one of the following:
    • Create a new template with your import file to start fresh. This is your only option if you have not set up templates previously.
    • Start from an existing template if you want to copy a template you created previously. Select the template you want to use.
  4. Give your template a name.
  5. Click Import from .csv, and select the CSV that contains the transactions you want to import.
  6. Select your import settings.
  7. Click Next.
  8. Map your imported columns to match the appropriate field in Realm Accounting.
  9. Optional: Select or enter the default values for each field, most of which are account codes.
    If the transactions in the import are all purchases made by the music department, set the default value for Department to the code you created for that department.
  10. Click Next.
  11. If there are any errors, click the ellipsis icon and select Edit.
    1. Make any necessary changes, then click Save.
    Tip: If a significant amount of errors display, we recommend correcting them in the .csv file to save time. Click Previous step twice to reupload your corrected CSV.
  12. When you're ready to import, click Finish.

Open an Import in Progress

Open and edit or continue an import that's currently in progress.

  • You must have accounting administrator or the appropriate accounting specialist permissions to perform this task.

  • An import must be on step 2 before it can be saved as "in progress".

  1. In the top-left corner, click your ministry hub then Accounting. Then click Transactions > General Ledger.
  2. On the Import tab, click the ellipsis icon next to an import in progress and select Open.
  3. Map your imported columns to match the appropriate field in Realm Accounting.
  4. Optional: Select or enter the default values for each field, most of which are account codes.
    If the transactions in the import are all purchases made by the music department, set the default value for Department to the code you created for that department.
  5. Click Next.
  6. If there are any errors, click the ellipsis icon and select Edit.
    1. Make any necessary changes, then click Save.
    Tip: If many errors display that require you to edit each row, we recommend correcting them in the CSV file to save time. Start a new import to reupload your corrected CSV.
  7. When you're ready to import, click Finish.

Delete an Import in Progress

Delete an import that is currently in progress.

  • You must have accounting administrator or the appropriate accounting specialist permissions to perform this task.

  • An import must be on step 2 before it can be saved as "in progress".

  1. In the top-left corner, click your ministry hub then Accounting. Then click Transactions > General Ledger.
  2. On the Import tab, click the ellipsis icon next to an import in progress and select Delete.
  3. Click Delete again to confirm.

Manage Import Templates

Rename, copy, or delete a general ledger import template.

  • You must have accounting administrator or the appropriate accounting specialist permissions to perform this task.
  1. In the top-left corner, click your ministry hub then Accounting. Then click Transactions > General Ledger.
  2. On the Import tab, click the ellipsis icon beside a template, then select one of the following:
    • Rename— Give the template another name to differentiate it from the rest.
    • Copy— Make a copy of an existing template.
    • Delete— Remove the template altogether.
  3. Depending on what you selected, do one of the following:
    • To rename or copy the template, enter the name you want it to have, then click Save.
    • To delete the template, click Delete again to confirm.
