Managing Volunteers for Big Events
Information on managing volunteers for big events, including volunteer registration options.
- You can use the Opportunity Finder widget to promote volunteer opportunities.
- Create a new Group or update an existing Group to manage event volunteers. When people agree to serve at your event, add them to the appropriate Group and then associate the Group with your event. This ensures the following:
- Each volunteer can respond to an opportunity to confirm their participation.
- Team leaders organizing volunteer groups can communicate with them.
- On the day of the event, each volunteer can check in and get a name tag that lists their Group and role.
Volunteer Registration Options for Big Events
For a large program, such as VBS, you can use any of the following options to register volunteers depending on your organization's specific needs.
- Create Opportunities and use Opportunity Finder. Tie Opportunities to the VBS event. Tie the Opportunities to specific Groups that serve the Event.
- Pros: You can add each volunteer position as a unique opportunity. You can directly add respondents to a Group once you update their Participant record to Placed. You can use a Custom Form, if needed.
- Cons: This can take some time to set up. You can't collect money from registrants.
- Create Groups and use Group Finder. Make sure the Groups are a new Group Type that display on Group Finder. Connect the Groups to the VBS Event. Use My Groups to allow people to manage those who sign up.
- Pros: Easy to set up and manage.
- Cons: You can't add a Custom Form. You can't tie this to a specific Event. You can't collect money from registrants.
- Create a Product with Add to Group and use an event registration to recruit volunteers.
- Pros: You can tie this to a specific Event. You can collect money from registrants. You can add this to a specific Group.
- Cons: This takes some time to set up. You can only tie one registration to each Event.
