Common questions regarding Participants or Members in MinistryPlatform.
We intentionally removed the delete tool from the Participants page so no one accidentally deletes a Participant record. To handle this situation, use the Combine Contacts Tool to remove a Participant from the Contact record.
A SPoC can delete a Company's Participant record.
Usually, when someone stops attending your church, it affects many areas of the system. Follow the steps below to determine what areas you need to update:
- Select the Participants.
- Mass assign them to the appropriate Participant Type and remove the participant end date.
- Transfer the records to the Contacts page.
- Mass update the Contact Status to the appropriate status.
- Add the Contacts to any appropriate publications.
- If appropriate, add them to any Groups (especially Age or Grade Groups used for check-in).
While Age and Grade Groups primarily track which grade a child is in, you can also use the HS Graduation Year field on the contacts table. You can create a cheat sheet that displays which graduation year corresponds to which grade. You can also create Views to update yearly that display high school Contacts (for example, Graduation Years 2021-2024).
Remove a Participant from a Contact Record
Delete a Company's Participant Record
- You must be a SPoC to do this.
Sometimes a Participant record may inadvertently create a company. Accidents happen! Here's how to correct it.
- Click Contacts.
- Select the Companies view.
- Click the Company to open its Contact record.
- In the General tab, click Edit Record.
- In the Participant Record field, click the X to clear the field.
- Click Save.
- Open the Company's Participant record.
- From the Actions menu, select Delete.
- Confirm that there are no dependent records associated with the Company. If there are, review each record carefully before you decide whether to delete it.
- Click Delete.
