Add Gifts to an Open Batch

Enter any manual gifts you receive into an open batch.

  • You must have the Enter Gifts permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your site name then Realm. Then click Giving > Contributions.
  2. On the Manual tab, click a batch number.
  3. Select your method of payment: Check, Cash, or Other.
  4. Select a Payment Form.
    Tip: Do you plan to export a fund distribution report to import it into another software? If so, we recommend that you enter all non-cash gifts into another batch to keep cash and check totals separate from non-cash amounts. This prevents you from having to keep track of which gifts are in each batch and making manual adjustments after the fact.
  5. Select a Gift Type (if applicable).
  6. Enter a Name or Giving Number and select from the list that displays. Deceased profiles will not show unless you opt to include them.
  7. Complete the remaining fields. To split a payment between different funds, click Split.
  8. To add another gift, click Add, and return to step 6.

Record a Loose Cash Gift

Enter cash as a manual gift.

  • You must have the Enter Gifts permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your site name then Realm. Then click Giving > Contributions.
  2. On the Manual tab, click a batch number.
  3. Click the Cash tab, then select Loose Cash as the Payment Form.
  4. Select a Fund, then enter an Amount.
  5. Click Add.

Scan Gifts to a Batch

Scan your contributors' manual gifts.

  • You must have the Enter Gifts permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your site name then Realm. Then click Giving > Contributions.
  2. In the Manual tab, click Add a Batch.
  3. Enter the batch Description and Gift Date.
  4. Optional: Select the Default Fund, and enter the Expected Amount.
  5. Click Save & Add Gifts.
  6. Click Scan Checks. You are prompted to enter your check details.

  7. Select the Gift Type, and select Nondeductible if it applies.
  8. Select the Fund.
  9. Optional: Enter a Memo.
  10. Optional: Enter the check's endorsement to print it directly from your scanner.
  11. Click Start Scanning.

  12. Click Done Scanning.

  13. After all of your checks scan into Giving:
    • Click Review to review your scans and match accounts.

    • Click Scan More if you need to scan additional checks.

  14. Complete all fields pertaining to each check. A confidence indicator displays if Giving isn't sure of the amount written on the check. If you see this, enter a new amount if you need to.
  15. While you review...
    • For each check you approve, click Save & Next. As you save, you will match accounts to the check. The next time you scan a check from a matched individual, Giving will recognize it.

    • If you need to scan a check again, click Re-scan.

  16. Click Close when you're finished with your review. All saved checks will display within the batch.
    Note: If a scanned check displays as Unassigned or Unknown, click the more actions icon from the list, and select Edit to review it again and enter the missing information.

Add Scanned Checks to an Existing Batch

Scan individual checks into a batch.

  • You must have the Enter Gifts permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your site name then Realm. Then click Giving > Contributions.
  2. On the Manual tab, click a batch number.
  3. Select Check and a Gift Type.
  4. Make sure your check reader is connected to your computer.
  5. Place the check in the scanner and let it pass through. If this is the first time a check has been scanned, the Match this Account window displays. Complete the available fields. If a check has been scanned before, complete the remaining fields.
  6. If you assigned the check to the incorrect individual, click Edit Check Scan and select the correct individual. This does not change other previously scanned checks that were assigned to that individual.
  7. If you scanned a bank check, in the Match this Account window, click This is a bank check. You will need to select an individual to assign the check to each time hereafter when a check with the same routing and account number is scanned.
  8. To add another transaction, click Add.
