Early Bird Discounts

Early bird discounts can help encourage people to register for an event earlier. To do this in MinistryPlatform, you can set the Days Out To Hide field on an Option Price. Once the Days Out To Hide number is reached, the discount automatically disappears from the event registration.

How does the system apply the discount?

For all negative products selected during the registration process, the system adds a payment detail line to the Payment. This ensures that the Product Details match the Product price for the Product(s) selected.

Example

Typically, the early bird discount is used as dollars off of the full price, such as $10 off the $50 registration. So, the event is set up with a price of $50 (for the entire registration period), and then you have an early bird discount Product Option that is -$10. But, this Product Option is only available until two weeks before the event. To define this, you would set the Days Out To Hide value to 14 on the Product Option record.

  • If someone registers three weeks out, they see that it is $50, and they can select the early bird discount of -$10. So, their total is $40.
  • If someone registers one week out, they see that it is $50 and the -$10 Product Option is hidden. So, they will pay the full $50.

Create an Early Bird Discount

  • Make sure you've created the Product that your early bird discount will apply to.
  • The Base Price should be greater than the discount you're creating. If you allow people to pay a deposit only, make sure the Deposit Price is greater than the discount you're creating.

Early bird discounts are set up just like other Product Option Prices. You can set the number of days before the event that the discount should be hidden.

  1. Go to Products & Payments > Product Option Groups, and create a new Option Group:
    1. For Option Group Name, enter "Early Bird Discount".
    2. Select the Product this discount will apply to.
    3. Set Mutually Exclusive to Yes.
    4. Set Required to Yes.
    5. Click Save.
  2. Go to the Option Group you created, click the Option Prices tab, and create a new Option Price:
    1. For Option Price, enter a negative amount for the dollars off of the full price, such as -10.00.
    2. For Option Title, enter something like "Early Bird Discount".
    3. Set Active to Yes to make the discount available for use.
    4. Set the Qty Allowed to 1.
    5. For Days Out To Hide, enter the number of days before the Event Start Date when the discount should disappear. For example, if your event is on the 25th and you want the discount to be hidden starting on the 10th, then you would enter 15.
    6. Click Save.

Once the Days Out To Hide number is reached, the discount automatically disappears from the event registration.
