Navigation & Data Entry

Tab

Once you import your file and scan your checks, the Batch Manager Tool can find data entry without using a mouse. Tab to quickly navigate through the donation details rows to assign donors, dollars, and designations.

Tip: To tab forward through all fields, you must start at the Payment Type field. To tab backwards through your fields, press the Shift key and the Tab key on your keyboard.

You can also control what fields you want to include in your "tab scope". Select the checkbox next to a column header to turn tabbing on or off for that column. For example, you can select just the donor, amount, and program columns to limit your tabbing to these fields for each record. You can still access any field using a click of the mouse.

This tab scope retains between sessions until you clear the browser cache.

Expand & Collapse

To assist data entry and navigation, you can use the Expand All toggle button to expand all donation rows and display the images. To collapse the donation rows and hide the images, click the Collapse All toggle button. When manually entering donations, you can also click the Close button to exit entry mode and see the donations already entered into the batch.

Sort

Additionally, click on a column header to sort the records by that column. For example, click on the donor column to quickly sort all the records that need donor assignment.

Zoom

With the donation rows expanded so you can see the check image, click Zoom In on the check image to zoom into the check image where your cursor is. As you change fields, the zoom moves accordingly.

Error Tabs

Learn more about the errors tabs in the Batch Manager Tool and how to correct the errors.

Invalid Donor

This tab displays when the batch has a pledge or donation currently assigned to the default contact record. To resolve this error, assign the contribution to the appropriate donor.

Multiple Matches

This tab displays when there are multiple donors that match the pledge or donation. To correct this error, assign the contribution to the appropriate donor.

Note: There is some overlap between the Multiple Matches error and the Invalid Donor error. If the BMT finds multiple donors that match the account information that you scanned, it assigns that contribution to the default contact record and displays the contribution under the Invalid Donor tab. To resolve this error, assign the contribution to the appropriate donor.

Missing Account Info

This tab displays when account information, such as the ABA number and account number, is missing from the contribution. To resolve this error, enter the missing account information for this contribution.

Duplicate Checks

This tab displays when a check you scanned matches another check already scanned into the system. If the contribution is a duplicate, delete it from the batch and process your batch as usual. If the contribution is not a duplicate (or you'd like to include it in the batch anyway), click the X at the top of the check image. This clears the check status, and you can process your batch as usual.
