Other Considerations
- Do you regularly send exported files to your envelope company?
- Consider using the Quick Posting of Envelope Users to mark families who receive envelopes. This ensures that these families continue to receive envelopes after your migration to MinistryPlatform.
- Do you track non-deductible payments for school, formation, or other funds?
- Review your funds for any non-deductible Tuition or Fee type activities. Verify that they have the appropriate "Non-Deductible" function, either Payment - Non-Deductible, Pay Down - Non-Deductible, Credits - Non-Deductible, Payment from Last Year - Non-Deductible, Initial Payment - Non-Deductible, or Refund - Non-Deductible. This ensures that these payments are not migrated as deductible payments.
- Do you keep member donations separate from the family?
- If a family member's donation should be kept separate, make sure they have a Mem ID/Env listed on their Member record.
- Do your record ID numbers contain letters or other characters?
- ID numbers should only have numbers. If you use letters or other characters, you must correct your ID numbers before the migration.
- Do you track deceased members?
- Make sure you've marked deceased members by filling in the Deceased date on their Member record. If you do not have a date, you or your diocese can choose a date to use to mean "unknown", such as 01/01/1820. This unknown date should be consistent across all parishes.
- Do your records have attached files or images that need to be migrated?
- The migration tool only accepts files of the following formats: PDF, HTML, Doc, Excel, and JPG. PDF and JPG are preferred.
After you've considered these and made any necessary changes, you're done cleaning up your data! Finally, you can complete your data cleanup workflow.
