Paid Registration Events Payment Settings
Reference information about payment options and related settings you can use when setting up paid registration events.
Payment Methods
- Online/Offline
- Select one option for how you intend to accept payments. You must have a merchant account to accept online payments. Accepted online methods include:
- Credit
- Selecting Credit, automatically selects Debit cards.
- Debit
- If you clear Credit, you can choose just debit cards.
- ACH
- This is an eCheck that transmits payments directly from a bank account.
Partial Payment
- Enable partial payments for
- This is an optional field to be used if you'll allow partial payments for large transactions. If you enable deposits, partial payments are automatically enabled.
- Minimum Online Payment Amount
- Enter a minimum online payment amount you'll accept. For example, a mission trip costs $1,200.00. You may require a deposit of $100.00 and future minimum payments no less than $150 each.
Payment Messages
- Messages for payees
- Any content entered in this text field displays on the registration form. Use it to help registrants know where or when to make payments, or other important details.
Account Settings
- Checking Account
- This is the bank account the payment is recorded against.
- Offset Account
- This is the general ledger account the payment posts to. An offset account allows any GL account, including expense accounts.
When someone creates a new paid event, entering accounting information for that event allows online payments to post automatically to the general ledger. This only applies to online payments and not to payments that admins manually enter, such as payments received at the door.
- Without Integrated Realm Accounting
- If Realm isn't integrated with Realm Accounting, you can still enter accounting information for the event. When you create a paid event, the Payment Settings tab includes an Accounting Settings section. Here, you can type your checking and offset account information.
- Without Accounting Administrator Permissions
- If you are creating a paid event but don't have the appropriate permissions, Realm will notify an administrator to enter the accounting information for the event. If you know the account code or the department associated with payments for this event, you can enter this in the Accounting Settings section of the Payment Settings tab. This information is included in the notification sent to the accounting administrator.
- With Accounting Administrator Permissions
- If you have both accounting administrator permissions as well as permissions to add and edit an event, you can select checking and offset account information when creating a paid event. Because you've already provided the appropriate information, Realm will not send accounting notifications for this event.
Refunds
- No refunds after
- For the event, you can specify a cutoff date after which attendees are no longer eligible to receive refunds. Once that date is reached, the system will not allow refunds to be processed for that event.
