Crediting Donations to Pledges
Information on how a donation is credited to a pledge, including in the Batch Manager Tool, online donations, and the data quality routine.
Crediting donations to pledges depends on how and when you enter the donation. The pledge campaign setup may influence the following processes.
Batch Manager Tool
- You can use the Batch Manager Tool (BMT) to manually assign a donation to the pledge. You create the pledge when you save the batch.
- If you don't credit a pledge, the BMT automatically credits the pledge when you create a deposit from selected batches.
Online Donations
- When a donor who has a pledge makes a donation online, that pledge is credited later when you create a batch from selection donations.
- Edit the donation distribution record to manually credit a donation distribution to any pledge. Note: If a specific donation does not automatically credit a specific pledge and you feel it should, please provide the specific donation ID and pledge ID to your finance SPoC after you have checked the following facts:
- The donation was distributed to a program with the correct pledge campaign.
- The donor or the donor's spouse has a pledge to the correct pledge campaign.
- The donation is dated after the first installment date of the donor's active pledge.
Routines
Our nightly routines run on a church-defined scheduled, including the data quality routine that attempts to do the following:
- Match pledges to donations when the donor or donor's spouse has a pledge, a donation is recorded against one of their records, and they have the family statement type. This respects the SSRS, AssignIncrementPledgeDays configuration setting.
- Create new pledges for donors that don't currently have a pledge record toward the pledge campaign assigned to the program the donor gave to. If the donors share giving, it also creates new pledges for donors whose spouses don't currently have a pledge record. This only runs for pledge campaigns with Auto Create Pledge set to Yes.
- Increase the total pledge amount on existing pledges if any new donation distributions cause the sum total to exceed the pledge total. This only runs for pledge campaigns with Auto Increase Total set to Yes.
