Reserve Seats is a redesigned way to hold spots on a trip before you know exactly who's going. When someone purchases seats by member type (Adult, Minor, Leader, etc.), they become the seat owner, and can assign or transfer those seats to participants at any time even if not participating on the trip.

For more detail help, see Reserved Seats.

Reserved Seats - Administrator (Trip Admin)

As a Trip Administrator, you now have a dedicated place to manage reserved seats with more operational oversight and support for "offline" payments, i.e. payments not received through Go Method.

  • See at a glance exactly who owns seats and how many are still waiting to be assigned.

  • View active or past events for any participant or non-participant.
  • Payments received by check? No problem. You can grant seats to someone even if they paid by check or another offline method.

  • Releasing unused seats keeps your trip from showing as 'full' when those spots aren't actually committed yet.

  • Everything seat-related (granting, transferring, releasing) lives in one place, so resolving issues is simpler. Quickly view/manage the seat owner's contact page from this dashboard.

  • Updated email notifications providing better visibility to seat owners about their seat reservations. Here's what's changing with email notifications:
    • Granting Seats to a Seat Owner When you grant reserved seats to someone, they'll now receive an updated notification email letting them know the seats were created for them. The email also includes any custom message you add in the Grant flow, so you can give context or instructions right in the notification. It will direct them to sign in and assign those seats to team members.

    • Transferring Seats Between Seat Owners There's now a brand-new notification email when reserved seats are transferred from one person to another. The recipient will see who transferred the seats, how many seats they now own, and a prompt to sign in and assign them. You'll never have to manually follow up to let someone know they received seats.

    • Releasing Seats from a Seat Owner When you release seats from a Seat Owner, they'll now receive a clear notification telling them exactly how many seats were removed. The email also includes a way for them to contact you if the release was made in error, which helps reduce confusion and support requests.

    • Inviting a Brand-New Seat Owner If you use the "+ Add Someone New" option when granting seats to someone who doesn't yet have a Go account, they'll automatically receive an account activation email along with an invitation to manage their reserved seats. This email includes a signin link so they can get started right away — no extra steps needed on your end.

Where to Manage These Emails You can view and edit the subject and body of all four emails in one place: Admin > Email Settings. You also have access to a variable sidebar to personalize content with fields like the recipient's name, number of seats, event name, and sign-in URL. See Manage Reserved Seat Emails.

Reserved Seats - Seat Owner

A reserved seat owner holds seats on a trip to assign to others later. You can be a trip participant yourself or not, and seats can be obtained either by purchasing them directly through the app or by submitting an offline payment (such as a check) that an administrator then grants to you.

  • The trip shows up in your My Events so you can always return to manage your seats.

  • You don't have to register as a participant (though you can) to buy seats for your group.

  • You can transfer seats to another seat owner as long as the seats are unassigned.

  • You'll now receive clearer, more helpful emails whenever something changes with your reserved seats. Here's what to expect:

    • When an administrator grants you seats, you'll get an email letting you know seats have been created for you, how many you have, and how to sign in and assign them to your team members. If the admin included a personal message, that will appear in the email, too.

    • When seats are transferred to you, you'll receive a notification showing who sent the transfer, how many seats are now yours, and a link to sign in and start assigning them.

    • When an administrator releases your seats, you'll get a clear notification telling you how many seats were removed. If you think it was done by mistake, the email will tell you who to contact.

    • If you're new to Go Method and an administrator grants you seats for the first time, you'll receive an invitation email with a link to activate your account and get started managing your reserved seats — all in one step.

    • Need to purchase additional seats? You can now do that from your reserved seats dashboard or the public event page.
