Reserved Seats

A reserve seat is a placeholder spot on a missions trip purchased by someone who does not yet know the identity of the individual(s) who will actually go. The seat "holds" the slot so that an applicant or participant can be assigned to it later.

Key use cases:

  • An organization or a church wants to send a group on a trip but doesn't know who will go. Rather than pay per-person on a credit card, they cut a corporate check (external payment) to hold the seats.
  • An individual (or non-trip-goer) wants to purchase seats on behalf of future participants.

Two ways to reserve seats:

  • Seat owner signs in and purchases seats.
  • Seat owner forwards a payment (i.e. a check) externally. Once received, the administrator records the payment and manually grants seats to the purchaser.

Roles

The Reserve Seats feature supports two levels of seat management:

Seat Owner - non-admin, non-trip participant
The Seat Owner must create a login to reserve seats. In addition, this role purchases and assigns their own unassigned seats to participants, and can transfer reserved seats to other owners for a specific trip. The seat owner is not required to go on the trip. Seat owners cannot view trip information until they assign at least one seat to an applicant who is accepted on the trip.
Seat Owner - team leader
All of the above, plus can see a limited admin-style view of their team's seat activity. Seat owners cannot view trip information until they assign at least one seat to an applicant who is accepted on the trip.
Administrator
Manages seat assignment at the organizational level — granting, releasing, and transferring seats between seat owners, and monitoring overall seat activity. Learn how to:

Key Concepts

Reserved Seat
A seat has been purchased by a seat owner in advance for a trip, but not yet assigned to a participant.
Grant
An administrator action that allocates seats to a seat owner without requiring payment. Registration rules (minors must have guardians, seat owners must go through the full application/approval process) are respected as seats are assigned.
Unassigned
Seats owned but not yet transferred to a participant.
Assigned
A seat has been given to a specific individual who becomes an applicant/participant on a trip.
Transfer
An administrator or seat owner action that moves unassigned seats from one participant to another.
Release
An admin has moved a seat back into the headcount pool. Essentially, it is no longer owned.
