Saving General Ledger Month-End Reports

In General Ledger, you can customize reports and set up a Report View for month-end reports.

At the end of each month, you can print these reports by clicking Define Views and selecting the month-end report view. This saves time because you no longer need to set up each report every month and print reports individually.

At year-end, you can use these same month-end reports as your year-end reports. The information that you post in ACS is cumulative, so when you select to print a report for the month of December, or for the last month of your fiscal year, the information in that report represents all activity in ACS for the entire year.

Setting Up and Saving a Report

  1. Under Generate Reports, click the Reports tab.
  2. In the drop-down list, select General Ledger and click Go .
  3. On the upper sidebar, expand the report type and select the report you want to set up. If you select a journal or statement, select a posting period in Report Options on the lower sidebar.
  4. Click Customize.
  5. Verify your current selections and make any necessary changes on the Report Options tab.
  6. Click Preview, then Save.
  7. In the Save As and Report Title fields, enter a new name for your report. You can also update the saved report's Description.
  8. To make the saved report available to others within your organization, select Public.
  9. Click Save.

Setting Up Month-end Reports Through Define Views

  1. Under Generate Reports, click the Reports tab.
  2. In the drop-down list, select General Ledger and click Go .
  3. On the upper sidebar, click the down arrow next to General Ledger and select Define Views in the drop-down list.

  4. Click New.
  5. Enter a name for the view such as Month End Reports.
  6. Select the Module and Type.
  7. Select Selected Reports, then click Select.

  8. Select reports to include in your view. You can use the arrows to move them to the Selected Reports list.
  9. Click OK. Your custom views now display in the Define Views drop-down list, so you can print the reports at any time.
  10. Optional: Select Public to allow other ACS users to access the view.
  11. Click OK.
