Statement Emails and Exports

After your statements have generated, a list displays of the number of emailed statements as well as the number of exported PDF files.

You can email statements to contributors if their email addresses are included in their Realm profiles. If you choose to email their statements, know that it's an automatic process once your statements have generated. Click the number of statements that were emailed to see if the recipients read their email. You can also filter by those who have and have not read their emails.

For those who haven't read their emails, you may want to send the email again or print a PDF of their statements to make sure they see it.

If a contributor doesn't have an email address or you prefer to deliver statements by mail, you can export a PDF document.

For contribution statements, you can upload a CSV of your statements to fulfillment services here at ACS Technologies, so we can mail them for you!

View and Print a Statement's Export

View previously generated contribution or pledge statements. Go a step further, and print or download all gifts within a statement directly from the statements list.

  • You must have the View Individual Contributions permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Statements.
  2. Either select the Contributions tab for contribution statements or Pledges for pledge statements.
  3. Click the ellipsis icon next to the statement you want to view and select View Export. A preview of your statement displays.
  4. Click the printer icon for a physical copy or Download for a PDF file.

Check for Unread Emails

Check for unread contribution and pledge statement emails.

  • You must have the View Individual Contributions permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Statements.
  2. Either select the Contributions tab for contribution statements or Pledges for pledge statements.
  3. If you emailed statements to your contributors, click the number of emails under the Emailed column.
  4. Under Status, you will see a list of contributors who have and haven't read their emails.
    Tip:

    For contribution statements, if there are unread emails by January 31, print the statements for those contributors so you can have them postmarked by the end of the month. You can even encourage those contributors to print their own statements.

Deactivate an Emailed Statement

If incorrect statements were emailed to contributors, deactivate them. When you deactivate emailed statements, all links to the statement expire.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Statements.
  2. Either select the Contributions tab for contribution statements or Pledges for pledge statements.
  3. Click the ellipsis icon beside a statement that was emailed and select Deactivate.
  4. Enter a reason for the deactivation, and click Deactivate.
  5. The information for the statements you deactivate is striked out, and information about the deactivation displays beneath them.
    Note:

    If contributors have read their emails or received statements through the mail, communicate with them if an error's been made so they know a corrected statement is on the way.

Export Emailed Statements to PDF

If over time, a number of emails aren't read, you may want to export the statements of those unread emails as PDF files that you can mail to your contributors instead.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Statements.
  2. Either select the Contributions tab for contribution statements or Pledges for pledge statements.
  3. If you emailed statements to your contributors, click the number of emails under the Emailed column.
  4. All the individuals are selected by default. If there are individuals you do not want to export statements for, clear the check boxes beside those individuals' names.
  5. Click Select an Action, and select Export.
  6. Select the Sort Order and click Export. A preview of your statements displays.
  7. Click the printer icon for a physical copy or Download for a PDF.

Send a Statement Email Again

Email statements to contributors again who lost their original email.

  • You must have the View Individual Contributions permission to perform this task. See Responsibilities for more information.
  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Statements.
  2. Either select the Contributions tab for contribution statements or Pledges for pledge statements.
  3. If you emailed statements to your contributors, click the number of emails under the Emailed column.
  4. All the individuals are selected by default. If there are individuals you do not want to email again, clear the check boxes beside those individuals' names.
  5. Click Select an Action, and select Resend Email.

Export a Statement Again

Export statements and mail them again.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Statements.
  2. Either select the Contributions tab for contribution statements or Pledges for pledge statements.
  3. If you exported giving statements, click the number of exports under the Exported column.
  4. All the individuals are selected by default. If there are individuals you do not want to export statements for again, clear the check boxes beside those individuals' names.
  5. Click Select an Action, and select Export.
  6. Select the Sort Order for the export, then click Export. A preview of your export displays.
  7. Click the printer icon for a physical copy or Download for a PDF file.
