Troubleshooting Leader Communication

Verify and adjust group or team communication settings so leaders can email, post updates, start chats, and enable parent or guardian oversight for minors.

You must be an administrator or staff with one or more of the following permissions:
  • Manage Volunteer Teams/Serving Roles
  • Edit Group
  • Manage Ministry Areas
If your group leader does not see options for sending email, starting a chat, and so on, we recommend you start by checking the group or team communication settings, and, for groups, check the settings of the ministry area the group is a part of.

For a group leader to communicate with participants, they must have a participant type of "Leader" for the group, and staff must allow communication at the ministry area level. Groups under a ministry area inherit its communication settings, but you can override settings for specific groups. You can enable or disable group communication options at any time.

For a team leader to be able to communicate with their volunteers, they must have a participant type of "Leader" of the team.

  1. If troubleshooting a group, check that communication options are enabled at the ministry area level. Edit a Ministry Area.
  2. First, make sure your group or team leader has a participant type of "leader". In Realm, choose one:
    1. Groups: click Groups > All Groups.
    2. Teams: click Volunteers/Serving > My Teams.
  3. Select a group or team to edit.
    1. Groups: Is the individual responsible for sending communication set to a leader instead of a participant? On the main page, you should see the group leader named. If not, click the Participants tab, beside the name of the leader, click the More options button. In the Participant Type field, select Leader, then Save.

      Group leaders are in the middle of the Info tab.
    2. Teams: To the right, you should see a Serving Team Leader identified. If not, click the Roster tab, then the person's name. On the Serving Teams tab, click the More options menu, then Edit Roles. Select a leader role.

  4. If you're troubleshooting group communication, select a group and click Edit Info. If troubleshooting team communication, skip to step 7.
  5. In the edit menu, click Group Communication, and make selections to allow participants and/or group leaders to create posts, upload photos, or post events.
  6. Toggle Enable Group chat to allow the group leader to start a chat. Participants cannot start a chat but they can participate in it once started.
  7. To allow contacts of minor children to view and respond to communication (recommended), toggle Enable Parent/Guardian Oversight.

    Communication settings include posts, photos, and events.
  8. If you're troubleshooting team communication, click to open the team.
  9. Beside the team name, click the More options, then select Edit.
  10. On the right, under Communication Settings, make selections to allow leaders and/or participants to create posts, upload photos, or post events.
  11. Toggle Team chat to allow the leader to start a chat. Volunteers cannot start a chat but they can participate in it once started.


Group leaders may need to refresh their screen to see communication options enabled. If this does not correct the problem, use the in-product chat to continue troubleshooting with support.
