Assign a Seat to a Participant

Seat Owners (non-participants and participants) can assign purchased reserved seats to participants from the trip dashboard in Go Method. You will also be able to change the member type, if needed.

  • You must have purchased reserved seats for the trip and have unassigned seats remaining.
  • The individual you are assigning a seat to must already be invited to the trip.

Assign seats to people who aren't yet on the trip. You can add each person as you assign their seat, so there's no need to invite them first. (You don't need to assign a seat to someone who has already registered for the trip — they already have a spot.)

When you assign a seat, registration rules cannot be bypassed. For example,
  • If you assign a seat to a minor, you must add the guardian information.
  • If you assign a seat to yourself, you will not be automatically approved. You'll still need to go through the full application and approval process.
  • Some member types require a background check. If the background check has a cost, you'll be prompted to pay before the assignment is completed.
  1. In the top menu, click My Events.
  2. Find the trip and click the Seats Assigned gauge.
  3. If not already selected, in the side menu, click My Reserved Seats.
    Note: Until you or one of the people you've assigned a seat to is approved for the trip, My Reserved Seats is the only section you'll see on the trip dashboard. Once someone is approved, the rest of the dashboard becomes available.
  4. Review your seat totals and the member-type breakdown below them: Total Owned, Assigned, and Unassigned.
  5. Click Assign seats. (You can also click Assign next to a specific member type in the table to start with that type pre-selected.)
  6. Click Add Someone New and enter the person's details: first and last name, birth date, and gender, and email, plus optional phone. If the person is a minor, select their legal guardian, or click Add Guardian to add one.
  7. Click Save.
    The person is added under Assign the seats to, but must still be selected.
  8. Repeat steps 1 - 7 for each person you're assigning a seat to.
  9. For each person, choose their member type from the Assign as drop-down list (for example, team member, doctor, or nurse). Each option includes a short description of the type. A person who doesn't meet the trip's age requirements is flagged with "Does not meet age requirements." and can't be assigned a seat. Every selected person must be assigned a member type, or you won't be able to continue.
  10. Click Next Step.
  11. On the Review page, confirm the applicants and their member types. If any member type requires a paid background check, complete the Payment section; the summary shows the charges and the amount due today.
    A confirmation is emailed to the address on your account.
  12. Click Apply (or Pay & Apply if a payment is due) to finish.
Your assigned participants now appear under Assigned Participants on the My Reserved Seats section, and your Assigned and Unassigned seat counts update to reflect the assignment.
Tip: Seat owners assign seats from the Portal. We recommend monitoring your seat activity and each participant's progress from your trip dashboard.
