Giving Migration

Migrate recurring gifts from your old giving software.

Moving from one software to another always comes with a checklist. With our migration tool, we want to make sure you check each box when it comes to your contributor's recurring gifts.

Export a list of recurring gifts from your previous giving software and import that CSV. Review each migrated contributor's information, and compare your gifts' migration status with detailed graphs.

Import Recurring Gifts

Import a CSV of recurring gifts from your previous giving software.

  • You must be an administrator to perform this task. See Responsibilities for more information.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, click one of the following:
    • If this is your first time importing recurring gifts, click Import Recurring Gift Records (.csv).
    • If you have previously imported recurring gifts, click Import More.
  3. If you do not already have a CSV prepared, download a formatted template and complete it.
  4. Click Choose File, and select the CSV with your recurring gift records.
  5. Click Continue.
  6. Verify that the first two records display correctly in the preview, and click Upload File.

The page will reload once your import is complete.

Reimport Recurring Gifts

Reimport any gifts that contain errors.

  • You must be an administrator to perform this task. See Responsibilities for more information.

If any errors occur when you migrate gifts, a message displays explaining how many didn't import. Use this message to download a CSV of errors, fix them, and import them again.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, click Fix invalid rows.
  3. Click Download errors (.csv).
    This CSV contains your gift information as well as a column of errors to inform you of what couldn't be read.
  4. After you make corrections, click Choose File.
  5. Click Continue.

The page will reload once your import is complete.

Update a Payment Method to Migrate a Gift

If a contributor's gift status is Not Migrated, review their gift and update their payment method.

  • You must be an administrator to perform this task. See Responsibilities for more information.
  • You must have permission to enter gifts on behalf of someone else.
A message displays automatically when you visit the Giving tab of any contributor whose scheduled gifts have not completed migration. We recommend that you review any migrated gifts belonging to that individual and update the payment method if necessary.
  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, click the name of a contributor whose gift status is Not Migrated.
  3. A message displays asking you to update the individual's payment method.
  4. If you're ready to update, click Review Gift and Update Payment Method.
    Note: If you are not ready to update, click Finish Later. You will be asked to review the contributor's gifts and update their payment method the next time you visit the Giving tab on their profile.
  5. Review the gift's information, and make any necessary changes.
  6. Click Continue.
  7. Confirm that the payment method is correct.
  8. Click Give.
  9. Click Finish.

Mark a Gift as Migrated

Mark an imported recurring gift as migrated.

  • You must be an administrator to perform this task. See Responsibilities for more information.

If a contributor already has an active scheduled gift, check to see if it matches what you imported. If it does, consider marking the imported gift as migrated. This does not add a scheduled gift for that contributor.
Note: If a contributor updates their payment method, imported gifts will display as migrated automatically.
  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, click on the same row as a recurring gift record, and select Mark Gift as Migrated.
  3. Click Mark Gift as Migrated again to confirm.

The recurring gift record displays on the Migrated tab.

Delete Imported Gifts

Delete multiple, imported recurring gifts at the same time.

  • You must be an administrator to perform this task. See Responsibilities for more information.

If the Not Migrated label displays beside an imported gift, you may want to delete the gift. You can delete multiple gifts with this label at the same time, or you can delete them individually. This is particularly useful if a contributor no longer gives and should not display in your migrated totals.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, do one of the following:
    • If you only want to delete one gift, click beside a gift record, and select Delete Imported Gift.
    • If you want to delete multiple gifts, select all gifts you want to delete, click Select an action..., and select Delete.
  3. Click Delete Gifts to confirm.

Contributors do not lose their profiles through this action. Their gift(s), however, are removed from the migration tool.

Export an Imported Gift List

Export a list of imported recurring gifts as a CSV.

  • You must be an administrator to perform this task. See Responsibilities for more information.

  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, click , and select Imported Gift List (.csv).

A CSV of the gifts that didn't migrate downloads to your computer and is ready for you to edit.

Send an Email About the Migration

Email contributors about migrating to Realm.

  • You must be an administrator to perform this task. See Responsibilities for more information.
Email your contributors about the giving migration, so they can review their gifts as soon as possible.
  1. In the top-left corner, click your ministry hub then Realm. Then click Giving > Settings.
  2. On the Migration Tool tab, select any number of contributors to email.
  3. Click Send Email.
  4. Edit the email template we provided to fit your need.
  5. If you want to save what you've written, click Save Template.
  6. Once you're satisfied with your email, click Next step: Summary and Send.
  7. If the list of contributors is correct, click Send Emails.
