Reduce Letter Size

Printing or emailing a lot of letters that contain large embedded images can strain your network. If emails are too large, your recipients' email provider may even reject your message. To help prevent this, you can reduce the size of your letter before you send it.

  1. When sending your letter, you may be prompted to reduce image sizes to reduce the overall size of your letter. If so, click Yes on the message to go back to the Letter Layout window. Otherwise, you may just notice red text in your Letter Layout window.

  2. Click Edit Style beside the area that displays in red text.
  3. From the list of styles, select the one that displays in red text, then click Edit Text.
  4. In the editor, right-click the image, and select Reduce the resolution of this image to save space. The image's size displays for your reference.

    Each time you select this option, the image's size is reduced by 75%. You can repeat this as much as needed.
  5. If you have multiple images, you can right-click each one to see which ones need to be reduced based on their size.
  6. At the bottom of the editor, click OK.
  7. Click Save/OK.

Once the letter is a size that can be printed/emailed, the red text no longer displays in the Letter Layout window. You can continue sending your letter as usual.
