Review Reserved Seat Totals and History

Administrators access the Admin Grant View to review seat totals, seat ownership, and granted seats by member type across a trip.

  • Event admins with the Can Manage ALL Trip Information permission can do this.

As a trip administrator, you may need a clear picture of how reserved seats are being used so you can confirm that purchased seats are assigned to the right member types, identify unused or over-allocated seats, and plan for changes in team composition. Reviewing reserved seat activity and history helps you track who owns seats, how many have been granted or assigned, and where adjustments may be needed before key deadlines.

To better understand what each seat owner experiences, you can click Admin View > My Reserved Seats to view the trip from a seat owner’s perspective.

  1. In the top menu, click Events > My Events.
  2. Click to open the trip.
  3. On the left menu, click Reserved Seats.
  4. Review the at-a-glance seat totals at the top of the page:
    1. Seat Owners — the number of individuals who own reserved seats for this trip.
    2. Total Owned — the total number of purchased seats across all owners.
    3. Assigned — the number of seats currently assigned to participants.
  5. Review the Seat Overview by Type table to see granted and assigned counts broken down by member type (Adult, Minor, Team Leader). You can also grant seats.
  6. In the Owners tab, review the Seat Owners grid. Each row is one seat owner:
    1. Owner — the seat owner's name.
    2. Owned Seats — the total number of seats they own.
    3. Types / Qty — the seat types they own (for example, Adult, Team Leader, or Minor), each shown as a tag with its count.
    4. Assigned — how many of their seats are assigned to participants.
    5. Actions — release seats from the owner.
  7. Click the Granted History tab to review the Seat Granted History. Each row represents one action:
    1. Action — the action taken, such as seats granted or released, shown with an icon.
    2. By — the administrator who took the action.
    3. Date — the date and time the action occurred (for example, Feb 2, 2026 9:36 PM).
    4. Detail — the seats affected (for example, 2 Adult, 1 Minor).
    This tab shows the full history of granting and releasing seats for the trip, across all administrators.
  8. In the upper right corner of the Admin View, you can access a seat owner view, assign or transfer seats. Click Admin View > My Reserved Seats.
