Put Your Group Into Recess

Put the group into recess to cancel primary group meetings during a specified date range and notify members and guardians by email.

Only primary meetings will be canceled when you put your group into recess. If you have other events scheduled, it will not automatically cancel them. You will also be able to schedule additional, non-primary events during the recess.

When you add or edit a recess period for a group tied to a volunteer schedule, Realm lets you cancel scheduled meetings and assignments within the recess dates and optionally notify affected volunteers by email or text. The change is recorded in the group's change log.

  • Prevent volunteers from arriving for canceled meetings.

  • Stay in control by choosing whether to cancel and notify.

  • Review the change log to see which meetings and assignments were removed.

  1. In the left nav, click Groups > All Groups. To open the group you want to recess, click the group's name.
  2. Click Edit Info.
  3. In the left menu, click Recess Periods, then click Add recess period.
  4. Enter a date range for the recess. (It will not retroactively recess a meeting where attendance was taken.)

  5. Click Save.
  • Five days before the recess begins, members of the group will be emailed the recess dates and told that meetings are canceled during that period.
  • Five days before the end of the recess, members will be sent a reminder email that includes the date, time, and location of the next regular meeting. If no meeting is scheduled, this email will not be sent.
  • Guardians of children receive the begin recess email.
  • You can customize these emails in Settings > System Emails, under Groups. See System Emails.
  • Volunteer schedules will be updated, removing scheduled meetings. Volunteers affected will receive a notification email.
