Manage Reserved Seat Emails

Customize the subject and body of reserved seat notification emails and personalize them with variables such as recipient name, number of seats, event name, and sign-in URL.

Event admins with the Can Manage ALL Trip Information permission can do this.
Like many other email notifications, administrators can customize emails sent from the system. You can view and edit the subject and body of all four notification emails in one place: Admin > Email Settings > Emails > Notification Emails. You also have access to a variable sidebar to personalize content with fields like the recipient's name, number of seats, event name, and sign-in URL.
  1. Click Admin > Email Settings.
  2. Click Notification Emails, or for the Invite Reserved Seat Owner email, click Account Emails.
  3. View or edit the subject and body of any of the reserved seat emails. You also have access to a variable sidebar to personalize content with fields like the recipient's name, number of seats, event name, and sign-in URL. To insert these fields, click Copy, then paste in the body of the email. Optionally, click Preview Email to view your changes.


  4. Click Save Email to save your edits.
Future emails will contain the changes you made. At anytime, you can return to this page to reset the email to its default content.

Granting Reserved Seats, under Notification EmailsThe admin grants reserved seats to a Seat Owner who paid by check or another method that did not go through the software.When you grant reserved seats to someone, they'll receive an updated notification email letting them know the seats were created for them. The email also includes any custom message you add in the Grant flow, so you can give context or instructions right in the notification. It will direct them to sign in and assign those seats to team members.
Transferring Reserved Seats, under Notification EmailsTransferring Seats Between Seat OwnersThere's a notification email when reserved seats are transferred from seat owner to another. The recipient will see who transferred the seats, how many seats they now own, and a prompt to sign in and assign them. You'll never have to manually follow up to let someone know they received seats.
Releasing Reserved Seats, under Notification EmailsReleasing Seats from a Seat OwnerWhen you release seats from a Seat Owner, they'll receive a notification telling them exactly how many seats were removed. The email also includes a way for them to contact the administrator if the release was made in error, which helps reduce confusion and support requests.
Invite Reserved Seat Owner under Account EmailsAn administrator invites a brand new seat ownerIf you use the "+ Add Someone New" option when granting seats to someone who doesn't yet have a Go Method account, they'll automatically receive an account activation email along with an invitation to manage their reserved seats. This email includes a sign-in link so they can get started right away. There are no extra steps needed on your end.
