Duplicate Profiles

When admins merge primary and secondary profiles, some information does not move to the primary profile.

The following data does not merge between primary and secondary profiles:

  • Payment Schedule
  • Checklist items
  • Insurance
  • Meeting Attendance records
  • Global NDA

Merge Duplicate Profiles

We recommend routinely cleaning up your database. Admins can merge old and new participant profiles for consolidation.

  • You must be a Go Method admin to do this.
When reviewing participant profiles, you may find duplicates. Participants occasionally forget or lose access to an old email could request a new profile. At some point, you'll want to merge old and new Go Method profiles. Merging profiles combines data from both profiles into one, such as background checks, emergency contacts, and old events.
Warning: Merged profiles cannot be undone.
  1. Use the Find a person search bar to look for the participant with duplicate profiles.
    Type a name into the search box to find someone.
  2. Search by the participant's full name, email, or phone number.
  3. Select the profile you want to keep as the primary profile – this one will retain the main details and history.
  4. Click the Actions dropdown menu.
  5. Select Merge as Primary – this marks this profile as the one where all the data will be kept after the merge.

  6. Now use the Search for the Duplicate Person box to type the name of the participant.
  7. Click Search.
  8. Select the duplicate profile to merge – this one will have incomplete or less accurate data.
  9. Once you are certain, click Yes, Merge People.

There is now only one profile for this participant. After merging, confirm that the contact information and trip involvement or donations are correct. If anything is missing, update those fields.

Merging Profile Conditions

When admins merge old profiles with new profiles, information is moved into the primary profile, under the following conditions.

Merge TypeResult
Background Checks
  • Moves all background checks from the secondary profile to the primary profile.
  • If more than one background check is present, we default to the most recent background check.
Profile Data
  • Profile data such as address, profile questions, and profile pictures move if not present in the primary profile.
ChMS External ID
  • Moved only if the primary profile does not have an external ID.
Emergency Contacts
  • Emergency contacts move if the same name and relationship match.
  • If the primary and the secondary profiles have no matching names, all names move to the primary profile.
  • If the primary profile has two matching emergency contacts, we do not move.
  • If the primary profile has one emergency contact that does not match, we move the one that does not match.
Application Answers
  • Missing answers are merged to primary profiles. If the answer on the primary profile matches the answer on the secondary profile, the answer does not move.
Participant Payments
  • Participant payments move to the primary profile.
References
  • All references will move over.
Person Roles
  • Person roles (security) and person affinity roles move over.
Two-factor Authentication
  • If the primary profile has two-factor authentication, we take no action.
  • If the primary profile has a system user, and the secondary profile has two-factor authentication, we take no action.
  • If the primary profile does not have a system user, and the secondary profile does have two-factor authentication, we move it.
  • Two-factor authentication remains with the system user.
