Upload Your CSV to Inkwell

Use Inkwell to upload your CSV to our fulfillment services.

  • Save your exported CSV.

Note: Want to include inserts with your giving statements? Save inserts in .pdf format, and upload them just as you would your exported CSV.
  1. Visit Inkwell.
  2. If you're not already logged in, click Log In.
  3. Enter your email address and password, and click Continue.
    Tip: For convenience, you can also log in by clicking Continue with Google, Facebook, or Microsoft Account.
  4. In the Jobs tab, click New Job.
  5. Enter a Job Name, for example, Q2 Statements 2026.
    This name displays on your job list so that you can quickly identify its progress.
  6. Click Select job type, then select Contribution Statement.
  7. Click Select statement type, then select Realm Plain Paper.
  8. Click Select postage preference, then select either First Class or Bulk / Standard.
    Important: First-Class Mail costs $0.25 more per statement than Bulk / Standard. This price is reflected when you receive an estimate. You can click Update Job and switch to a different postage preference at any point before you print.
  9. To upload your contribution data, do one of the following:
    • Open your File Explorer, locate the CSV containing your statements, and drag and drop that file into the box.
    • Click the box, locate the CSV containing your statements, and double-click it.
  10. Optional: If you want to include inserts, click Add Insert Files (PDF only), locate the appropriate .pdf file, and double-click it.
  11. Select I confirm that all uploaded information is accurate and ready for proofing.
  12. Click Generate Proof & Estimate.
We will validate your contribution statements and create a proof for you to review and accept.

Approve Your Proof

Review and approve a sample of what our fulfillment service will send to your contributors.

  • Upload your CSV to Inkwell.
  1. Visit Inkwell.
  2. If you're not already logged in, click Log In.
  3. Enter your email address and password, and click Continue.
    Tip: For convenience, you can also log in by clicking Continue with Google, Facebook, or Microsoft Account.
  4. In the Jobs tab, click the name of a job with Awaiting Proof Approval as its status.
  5. Near the bottom of the page, on the row labeled Proof, click View.
    Your estimate will open in a new tab.
  6. Review your proof.
    Tip: If you want to keep a copy for your records, either download it on the tab you're viewing it, or click Download on the list of files created in Inkwell.
  7. If the proof looks good to you, click Approve Proof. See Inkwell Button Descriptions for more information on the other options.

Approve Your Estimate

Review and approve the estimated cost required to mail your statements.

  • Approve your proof.
  1. Visit Inkwell.
  2. If you're not already logged in, click Log In.
  3. Enter your email address and password, and click Continue.
    Tip: For convenience, you can also log in by clicking Continue with Google, Facebook, or Microsoft Account.
  4. In the Jobs tab, click the name of a job with Awaiting Estimate Approval as its status.
  5. Near the bottom of the page, on the row labeled Estimate, click View.
    Your estimate will open in a new tab.
  6. Review your estimate.
    Tip: If you want to keep a copy for your records, either download it on the tab you're viewing it, or click Download on the list of files created in Inkwell.
  7. If the estimate looks good to you, click Approve Estimate. See Inkwell Button Descriptions for more information on the other options.

Resolve Validation Errors

Review any invalid rows, and correct them.

  • Upload your CSV to Inkwell.
  1. Visit Inkwell.
  2. If you're not already logged in, click Log In.
  3. Enter your email address and password, and click Continue.
    Tip: For convenience, you can also log in by clicking Continue with Google, Facebook, or Microsoft Account.
  4. In the Jobs tab, click the name of a job with Failed Validation as its status.
  5. Click View rows to review which rows contain errors.
    Note: If you're okay with some rows containing invalid data, you can click Generate Proof (with valid addresses only) to create a file that only contains those addresses. If you have no valid addresses, this can't be done.
  6. Click Download CSV and make your corrections.
  7. Save your updated CSV.
  8. Click Update Job.
  9. To upload your contribution data, do one of the following:
    • Open your File Explorer, locate the CSV containing your statements, and drag and drop that file into the box.
    • Click the box, locate the CSV containing your statements, and double-click it.
  10. Select I confirm that all uploaded information is accurate and ready for proofing.
  11. Click Update Job.
  12. To confirm, click Ok.

Inkwell Button Descriptions

More information on the buttons you see when you open a job.

Approve Proof or Estimate
Approving a proof or estimate moves your job forward in the fulfillment process. Do not click this until you've viewed your document and have verified that all information is correct.
Reject Proof or Estimate
Rejecting a proof or estimate prevents your job from moving forward in the process. This action cannot be undone. Only do this if, for example, you've uncovered too many errors and need to start over. The job is given the Rejected status, but the files uploaded as part of that job are still accessible.
Update Job
Click this if you want to make changes to your job. The changes you make determine whether the job starts the process over. For example:
  • If you view your estimate for First-Class Mail and determine the price is too high, update your job to switch to Bulk / Standard. You'll receive an estimate with an updated price and won't have to start the fulfillment process again.

  • If you upload a brand new file, you will need to review and approve its proof again.
Cancel Job
Canceling a job prevents it from moving forward in the process. It behaves the same as rejecting a proof or estimate. The job is given the Canceled status, but the files uploaded as part of that job are still accessible.
View Rows
If you receive validation errors, view rows to identify which ones you want to correct. If you fix some rows but not all during a validation review, your job will move forward with valid addresses only. When you review your proof and your estimate, click View Rows to see which addresses have been excluded and update them at any point.
