Recorded Net Pay Does Not Match Calculated Net Pay

This troubleshooting guide addresses the issue when the recorded net pay does not match the calculated net pay in any version of the Payroll product. The error occurs due to an incorrect total in the Net Pay field, which is a calculated field. The guide provides steps to verify the totals when editing the W-2 Totals to resolve the error.

When editing W-2 totals, this error displays:

Recorded net pay does not match calculated net pay.

  • Products affected: Payroll

  • Versions affected: Any

The Net Pay field automatically calculates the total. If there's an error, it means the total is incorrect. Here's how Net Pay is calculated:

gross pay - taxes - deductions + additions = net pay

When you check the employee's details in the Add/Edit W-2 Totals section, the system tries to confirm this calculation. If the calculated total doesn't match the displayed total, an error message appears.

To fix the error, make sure the totals are correct when you're editing the W-2 Totals.

When you look up the employee in Add/Edit W-2 Totals, ACS tries to verify this calculation. If the calculation of the field is not what displays in the field, this error displays.

To resolve the error, verify the totals are correct when editing the W-2 Totals.
