Assign Ministers Automatically

CAUTION: This process alters data. We recommend backing up your data before proceeding.
  1. On the Information tab, click Schedules.
  2. At the top, Add Schedule.
  3. Set the schedule dates in one of the following ways.
    • Enter dates for Schedule Starts On and Schedule Stops On.
    • On the schedule calendar, select the week(s). To select multiple weeks, click the first week and drag the mouse to the last week you want to schedule.
    • Select Start From The Most Recent Schedule Date to select the week following the latest week scheduled.
  4. If you want to run a test schedule, select Schedule Test Mode. This means no data is saved and Last Served dates aren't updated until you're ready to do so.
  5. In the Review Options section, click a section link if you need to change Ministry Names, Scheduling Options, Ministers Detail, and Masses Detail options. Click Next.
  6. Review the Schedule Weeks list. If any weeks have already been scheduled, the checkbox is cleared. If you want to overwrite the existing schedule, select the checkbox for the week.
  7. If you're scheduling multiple weeks, select whether to schedule each week individually or all weeks at once.
  8. When you're ready to schedule the selected week(s), click Next.

Schedule One Week

Continue here if you're scheduling a single week or scheduling each week individually...

  1. If any minister's Last Served date was more recent than the week you're scheduling, you are prompted to change the dates. Make the necessary changes, then click Next.
  2. When you clicked Next, the scheduler worked its magic to schedule ministers. This window summarizes the assignment details the scheduler generated.
    • View incomplete assignments in the View Assignment Information section of the window.
    • View assigned ministers in the View Assigned Ministers grid.
    • View ministers rejected for assignment in the View Rejected Ministers section.
    • Double-click a minister name to view the tracking results. Click Close to return to the scheduling process.
  3. After viewing the information, click Next to see the Result window.
  4. If needed, manually edit any information. You can click-and-drag a minister name to any unfilled position, or right-click an unfilled position.
    Note: If you edit a schedule in the Result window, the Save button becomes available at the top of the window. This only affects the current schedule displayed. To save the schedule in the program, click Save Schedule at the bottom of the window.
  5. When you're finished, click Save Schedule to add the new schedule.
  6. If you're scheduling multiple weeks individually, you're prompted to continue with the next one. Click Yes to continue scheduling the next week. Repeat the steps above for each week. After you save the last schedule, a completion window displays.
  7. If you use the minister app, you can automatically upload minister data. If you click No, you can upload data manually later.
  8. Click Finish to complete the schedule.

Schedule Multiple Weeks

Continue here if you're scheduling multiple weeks automatically...

  1. If any minister's Last Served date was more recent than the weeks you're scheduling, you are prompted to change the dates. Make the necessary changes, then click Next.
  2. Click Yes to continue the scheduling process.
  3. When you clicked Yes, the scheduler worked its magic to schedule ministers. This Result window displays for the first week you're scheduling.
  4. Use the tools at the top to scroll through the other weeks.
  5. If needed, manually edit any information. You can click-and-drag a minister name to any unfilled position, or right-click an unfilled position.
    Note: If you edit a schedule in the Result window, the Save button becomes available at the top of the window. This only affects the current schedule displayed. To save the schedule in the program, click Save Schedule at the bottom of the window.
  6. To view the summarized assignment details generated by the scheduling process, click Back.
    • View incomplete assignments in the View Assignment Information section of the window.
    • View assigned ministers in the View Assigned Ministers grid.
    • View ministers rejected for assignment in the View Rejected Ministers section.
    • Double-click a minister name to view the tracking results. Click Close to return to the scheduling process.
  7. Click Next to go back to the Result window.
  8. When you're finished, click Save Schedule to add the new schedule.
  9. If you use the minister app, you can automatically upload minister data. If you click No, you can upload data manually later.
  10. Click Finish to complete the schedule.
