Formation Office User Guide

View a Fund Summary

  • This feature only displays if an administrator has assigned user access to the Fund Summary button. (Admins, this is under Program Level Setup Options > Fund Summary.)
  • The Fund Summary button must be enabled on your Home Screen.
  • You'll only see funds you have access to.

You can quickly view a summary of fund information in your program. View a payment summary by activity, a payment summary by season, a summary of current funds, or a summary of all funds. There are options to view the payment summaries in different ways. You can export this information if needed.

  1. On the Home Screen, click Fund Summary.
    Tip: Don't see this button? Make sure your administrator has granted you access and it's enabled on your Home Screen.
  2. Click a tab to view one of the following summaries:
    • Payment Summary by Activity – Shows either the Monthly Totals (entries made in the last 4 months) or Weekly Totals (entries made in the last 16 weeks) of each fund broken down by activity, as well as the grand totals.
    • Payment Summary by Season – Shows 5 years of Total Contributions broken down by liturgical seasons, including Advent, Christmas, Early Ordinary Time, Lent, Easter, and Later Ordinary Time. This way, you can compare each season year over year even though the date ranges for these seasons change. Use the options at the top to see the Date Range, Number of Weeks, or Average per Week for each season.
    • Summary of Current Funds – Shows the number of families, amounts pledged/due, and amounts paid for each fund in a current fund period, as well as the aggregate balance (which is the sum of the balances for each family, so this may not be equal to the total Pledged/Due minus the total Paid).
    • Summary of All Funds – Shows the number of families, amounts pledged/due, amounts paid, credit amounts, and gift amounts for each fund, as well as the aggregate balance (which is the sum of the balances for each family, so this may not be equal to the total Pledged/Due minus the total Paid). It can take a few minutes to gather all the fund details for this summary.
  3. To export the data on the screen you're viewing, click Export. Enter a name for your file, and note the location where your file will be saved, then click Use/OK. Once exported, you can click Yes when prompted to view the file.
