Contributions Report Options

You can customize the appearance of most Contribution reports by selecting from the available options. Available options differ for each report.

Note: All options are not available for each contribution report. Unavailable options either do not display, or display as disabled, on the Report Options tab.
Available Report Options in Contributions may include:

Report Options

Include Deactivated Contributors — Select to include deactivated contribution records on the report. Deactivated contributors are flagged with a # symbol.

Ignore Send Statement Flag — Select to override the Send Statement by option in People.

Filter — Select to set a filter using selected fields when printing the report.

Custom Sort — Select to sort the printed information by selected fields. You can select up to four sort parameters.

Bulk Sort — Select to sort the current report for bulk mail. This option is only available with the Flex Statement report.

Flag People — Select to flag individuals with the selected member statuses.

Selected Funds — Select to specify which funds to print.

Count combined as two records — For statistical reports, select if you want to count a combined contributor as two people.

Print one contributor — Select to print a statement for only one contributor.

Use Pledge Entry Date — In the Pledge/Gift Comparison report, select to include pledges in the column with the date range that includes when those pledges were entered rather than the pledge's date range.

Formatting Options

Include Address — Select to include a contributor's address.

Suppress City State ZIP — Select to prevent printing selected City, State, and ZIP Code fields.

Include Preferred E-mail — Select to include emails with the address information.

Include Preferred Phone Number — Select to include phone numbers with the address information.

Suppress Area Code — Select this option to prevent printing selected area codes.

Print Unlisted Phone/Email — Select to print all phone numbers or emails, even if they are flagged as Unlisted.

Change Layout — Select to change the columns that print on the Flex Statement.

Print upper case — Select to print name and address information in upper case.

Print bar code — Select to print a bar code with the address.

Use Last Search Results — Select to use the results as your report's data.

Formatting Options

Include Address — Select to include a contributor's address.

Suppress City State ZIP — Select to prevent printing selected City, State, and ZIP Code fields.

Include Preferred Phone Number — Select to include phone numbers with the address information.

Suppress Area Code — Select this option to prevent printing selected area codes.

Print Unlisted Phone/Email — Select to print all phone numbers or emails, even if they are flagged as Unlisted.

Change Layout — Select to change the columns that print on the Flex Statement.

Print upper case — Select to print name and address information in upper case.

Print bar code — Select to print a bar code with the address.

Use Last Search Results — Select to use the results as your report's data.

Extract Information

Current Year/Next Year — If next year's envelope numbers have been entered, you can select whether to extract the current year's or next year's envelope numbers.

Church Code — This is a code provided by your envelope printer.

Statement Information

Select information by — Select the period for which you want to print statements (for example, monthly, quarterly, or yearly), the time frame, and the year. The period is limited to one contribution year.

Statement Date — Enter the date to display on the statement.

Transaction Year — Enter the year for which you want to print statements.

Beginning Receipt# — Enter the number of the first receipt.

Registration# — Enter the statement registration number.

Signature Line — Enter a custom signature line.

Pledge Thru Date — Enter the date through which pledges are calculated.

Only contributors with pledges — Select to print statements for contributors with pledges only.

Print prior months — If you print a monthly statement, you can select to include all previous months in the year on the statement. This information applies to the Flex Statement and Plain Paper Statement only.

Include if zero QTD — Select to print statements for contributors who have not given during the quarter for which you are printing statements.

Include if zero YTD — Select to print statements for contributors who have not given during the year for which you are printing statements.

Exclude Tax Report Names — Select if you do not want to print statements for contributors who are eligible to receive a Charitable Contributions Report or Charitable Tax Extract.

Taxable Contributors — Select the parameters for which you want to print the Charitable Contributions Report.

Year Information

Year — Select the Posting Year you want to analyze.

Date — Select the date you want to display on the report.

Type — For the Pledge Gift Comparison, select gifts or pledges for each column.

Range — For the Breakdown Analysis on Gifts, enter the ranges for each column.

Envelope Range

Start — Enter the first number in a range for which you want to print unassigned envelope numbers.

Stop — Enter the last number in a range for which you want to print unassigned envelope numbers.

Entries to Include

Entries to Include Select to include specific records in the report. The following options are available:

All Entries — Includes all entries in the report.

Tax Report Names only - All Entries — Includes records with transactions of $250.00 or more.

Tax Report Names Only - Required Entries — Includes records with transactions of $250.00 or more for any Sunday.
